Position FTE: 1.00 on NRCAC Project

Reports to:      NRCAC Project Manager

Location:         Main Office is in Philadelphia. May reside in one of the nine states in the Northeast

Federal Census region (PA, NJ, NY, CT, RI, MA, VT, NH, ME). Residence in Philadelphia, PA or the surrounding area highly preferred. Will work remotely from home with occasional travel as needed.

 Purpose:

The role of the Administrative Assistant is to work collaboratively with NRCAC staff under supervision of the Project Manager to perform data management, clerical, and fiscal responsibilities for the NRCAC Training and Technical Assistance Project. This position is supported by a federal grant from the Department of Justice/Office of Juvenile Justice and Delinquency Programs (OJJDP) and managed by the Philadelphia Children’s Alliance (PCA), a nationally accredited Children’s Advocacy Center.

General Responsibilities:

The Administrative Assistant is responsible for tasks related to data administration and reporting, clerical needs, and fiscal tracking for the NRCAC Training and Technical Assistance Project.

Data Administration and Reporting:

•                Manage entry of company data in Salesforce and other databases

•                Serve as Salesforce Administrator for NRCAC and perform regular data and system upkeep

•                Design customized data reports in collaboration with Project Manager, run and disseminate reports for internal and external use

•                Assist staff with reporting deliverables to stakeholders, including DOJ, NTTAC, and PCA

•                Review data for key takeaways as needed

•                Other duties as assigned

 

Clerical and Fiscal Tasks:

•                Review and track expense requests, invoices, and reimbursements for DOJ requirements compliance in collaboration with PCA Finance Department

•                Complete Conference Cost Requests, post reports, and event-related expense tracking

•                Maintain up-to-date understanding of DOJ’s financial requirements for grantees

•                Record accurate notes for internal and external meetings as assigned

•                Support Project Manager in preparation and management of logistics for in-person and virtual events as needed

•                Other duties as assigned

Skill Requirements:

•                Skills in database management required, Salesforce experience preferred

•                Strong organizational skills, including ability to develop and maintain organizational structures

•                Ability to multitask with attention to detail

•                Strong time management skills and dependability in meeting deadlines

•                Self-starter with a collaborative nature, able to work independently and as an active team member

•                Ability to communicate effectively, both verbally and in writing

 

Education/Experience Requirements:

•                Associate’s Degree, related Certificate program, and/or commensurate experience with a minimum of 2 years in related fields – diversity valued

•                Experience in finance, grants, and/or nonprofit management a plus

•                Knowledge of Children’s Advocacy Centers, Multidisciplinary Teams, and associated systems a plus

•                Proficiency in computer applications and virtual communications – Microsoft Office suite, Zoom, Microsoft Teams, Adobe suite, etc.

 

Supervision

•                The Administrative Assistant will report to the Project Manager, and will work collaborative with the Project Manager and NRCAC project staff on all grant activities and responsibilities.

Please note: the grant funding the NRCAC Project operates on a 3-year grant cycle and opens for competitive applications at the end of each cycle. Currently in Year 2 of the active grant cycle, PCA intends to apply for the next cycle and beyond to continue its operation of NRCAC as it has since 1995.
