Position: Development Coordinator, Board & Leadership Relations

Reports to: Vice President and Chief Officer of Operations and Advancement

Status: Full Time; Exempt

Location: Brookline (preferred); Currently Remote

Start date: Immediate

 

Position description:

As part of the Advancement team at Facing History & Ourselves, the Development Coordinator, Board and Leadership Relations position will support the engagement and stewardship of Facing History’s 370+ volunteer leaders who make up the Board of Directors and its Committees, Leadership Council, Board of Scholars, and nine regional Advisory Boards. Reporting to the Vice President and Chief Officer of Operations and Advancement, the Coordinator will play a vital role in ensuring effective governance of the organization and compelling engagement of these important supporters. This is an exciting opportunity to work in an international non profit organization with complex governance structures and strong exposure to governance and fundraising work.

You excel at juggling multiple priorities and are comfortable working with Staff at all levels, including our leadership team, as well as our most important volunteers and stakeholders. You are communicative and collaborative; you bring tact, diplomacy, and persistence to the workplace. You are proficient at taking notes and minutes, culling action items from meetings and following up on those items. You are a key member of the Board and Leadership team and understand the impact and significance of Board engagement and management within a non profit like Facing History. You bring an upbeat, can-do attitude, a passion for learning and growth, and a desire to help build community within the team and the organization.

Responsibilities include:

Support of Board, Leadership and Committees:

  • Draft and maintain timelines and process guides for Board & Committee meeting preparation and execution
  • Work directly with Staff Leadership and Board Leadership to confirm key calendar dates in fiscal year. These include Board of Director, Leadership Council, Committees, and all relevant prep meetings; continued maintenance of calendars as needed. 
  • Assist in meeting preparation, including gathering and formatting meeting materials, preparing meeting packets, managing video conference activity, and other support as needed. Work with all necessary Staff Members and Leadership team members to ensure seamless preparation and execution of various meetings.  
  • Maintain meeting records, including drafting minutes and tracking attendance
  • Prepare communications to volunteer leadership, including managing communication schedules and drafting messages
  • Maintain board membership records and produce lists and reports for various needs

 

Special Event Team Support

  • Serve as back-up for Special Events Team during high-activity periods, including proof reading event materials and administrative support
  • Partner with Special Events Team to communicate Facing History events and speaker/Program opportunities to various Boards.  

General Administrative Support

  • Draft and edit Board correspondence, talking points, and other written communications as needed. Serve as the written voice of Board Leaders and Senior Staff, as needed.  
  • Serve as point of contact with general questions and inquiries for all Board Members.  
  • Work closely with office of CEO and VP/CAO to ensure seamless communication and structure around all governance needs
  • If appropriate, support the Board Leadership Retreats, which may include primary responsibility for registration and reporting
  • Ensure accurate Board information in annual reports, gift listings, grant proposals and others as needed
  • Process expense reports, complete expense reconciliations, and other support as needed
  • Additional duties as assigned

 

Essential Skills/Qualities:

  • BA/BS or equivalent experience preferred 
  • Minimum of 1-3 years of work experience, working in non profit development and/or board management required
  • Knowledge of governance structure of organizations preferred
  • Must have demonstrated working experience in customer service setting, utilizing strong project management and detail orientation skills
  • Calendar management skills strongly preferred
  • Comfort and experience managing confidential information
  • Ability to work independently, prioritize and problem solve; ability to manage multiple assignments in a busy, high-pressure environment 
  • Excellent written and verbal communication skills as well as organizational skills
  • Excellent computer skills, including experience with Google Suite, Microsoft Office, and Salesforce preferred
  • Interest in the mission of Facing History and Ourselves
