The Special Events Coordinator is responsible for reaching fundraising goals through special events, managing event committees and boards, and executing special event logistics. This position manages the production of the Walk for Kidneys and the Gift of Life Gala. The goal of these events is to raise funds to support the programs and initiatives of the National Kidney Foundation of Illinois as well as expand the awareness of and involvement in the organization and its mission. The Special Events Coordinator reports to the Senior Director of Development.


Essential Duties and Responsibilities:

 In conjunction with Senior Director of Development, develop, implement and refine fundraising strategies on an annual basis to increase revenue and reduce expenses for special events

 Secure and coordinate all appropriate contracts, permits and licensing, manage materials, supplies and signage needed for event production.

 Brainstorm with the Senior Director of Development on potential sponsors to support events and actively engage in creating strategies and messaging that will aid in the sponsorship recruitment process. Ensure that sponsorship benefits are fulfilled as per agreements.

 In coordination with the Communications Director, develop strategic communications and marketing strategies for special events and creation of print and web-based materials to enhance fundraising efforts.

 Create and adhere to project budgets and utilize DonorPerfect to track and collect funds raised, monitor progress of registration, ticket sales and income goals and adjust plans as appropriate.

 Work with Senior Director of Development to create income and attendance projections for events. Conduct post-event follow up and action steps. Keep accurate records and comparison charts for every year.

 Donor/participant/vendor relations: Manage donors, vendors and participants. Properly manage relationships to ensure ongoing support and participation for all Foundation events.

 Work collaboratively with Board, staff and volunteers to cultivate donors and solicit individual and corporate contributions

 Recruit, manage and support board members, committees and event related volunteers

 Procure donations, live and silent auction items, and in-kind services

 In conjunction with event chairs and Senior Director of Development, participate in and/or lead event-related meetings

 Serve as a strong representative of the National Kidney Foundation of Illinois, its work, mission, programs and services

 Evening and weekend work required as needed, occasional travel to Chicago suburbs for meetings as needed

 Other duties as assigned


Qualifications:

 Bachelor’s Degree required, with a minimum of two years of relevant fundraising/business/event management experience

 Experience soliciting and securing donations from corporations, foundations and individuals

 Volunteer management experience, including ability to organize, motivate, and recruit committee members

 Experience managing event logistics, including auction and auction item procurement and vendor management

 Familiarity with both marketing and growing targeted events

 Strong verbal and written communication skills; must be comfortable and able to present in front of large groups

 Ability to interface with all levels of Board, staff and volunteers

 Ability to work and make sound decisions independently and take initiative to work with a team

 High capacity to manage, assess value and importance, and prioritize multiple tasks and activities

 Ability to meet deadlines and work with tremendous attention to detail

 Proficient in building strong relationships, demonstrating initiative and taking responsibility

 Proficient in working with and developing budgets, tracking income and expenses and meeting financial goals

 Experience in managing endurance events preferred

 Proficient in Microsoft Office and donor management systems (Donor Perfect preferred)

 Must have a valid driver’s license

 Must be able to lift at least 35 pounds
