The Urban Justice Center (UJC) seeks an Associate of Grants Reporting and Compliance who will work closely with each of UJC’s Projects, as well as the Fiscal and Development teams, and will be supervised by the Director of Program Reporting to oversee UJC’s government and private funding grants. This role is responsible for the development and implementation of a cross-Project process that results in timely submission of all required applications and compliance with all rules, reporting requirements, and regulations related to government contracts and donor grants.
Grant Applications and Management
o Assist the Fiscal grants and compliance team in developing policies and procedures that reflect best practices in the areas of grant management and reporting.
o Collaborate with Benefits staff to obtain and maintain Urban Justice Center procurement documentation and submit them to the funders as requested for contract procurement.
o Renew and keep up to date UJC’s organizational profile in the City, State, Federal and funder’s websites.
o Work closely with the Safety Net Project on grants and reporting.
Grant Reporting and Compliance
o Assist the grants and compliance team to ensure timely completion of all program reporting requirements for every grant, including that all reportable cases meet program eligibility standards and that all required case information from intake through closing is entered into UJC’s Legal Server case management system.
o Ensure compliance of grants with donor rules and regulations, including those of New York State & City funding agencies. Review government contracts and assist programs with the scope of work deliverables.
o Create custom reports from Legal Server as required by funder. Assist the Director of Program Reporting in compiling information into funder’s template for grant reporting.
o Review any compliance reports or findings from funding agencies and work with Projects to address any issues.
Team Management & Collaboration
o Assist and train UJC staff regarding inputting information into Legal Server to assure internal compliance and data integrity.
o Collaborate with the Fiscal team to manage grant-related pre- and post-award functions, including but not limited to procurement, budget and expense analysis, invoicing, financial reporting, and grant closeout functions.
o Partner with Fiscal on year-end audits, as well as various program specific audits, and respond to information requests from auditors.
o Assist programs in responding to program audits by funders.
o Perform other duties as assigned.
o Minimum of 2-3 years’ experience in nonprofit industry with basic knowledge of laws applicable to the compliance and administration of federal, state, and city funding.
o Experience in managing a diverse portfolio of institutional grants, including New York State & City grants, as well as foundations and other charities.
o Experience in grants administration, including compliance for performance-based and line item contracts, data collection and analysis, and an interest in systems as they relate to grant reporting and compliance monitoring.
o Ability to manage multiple program reports and juggle conflicting priorities to meet all deadlines and deliverables.
o Strong analytical, presentation, communication, and problem-solving skills.
o Excellent organizational skills and attention to detail.
o Experience with computerized case management systems. Legal Server experience is highly desirable.
o Experience with systems such as HHS Accelerator, Grants Gateway, Passport, and Payee Information Portal (PIP).
o Experience with Office 365 Suite, including business applications such as Excel, Word, and PowerPoint.
o Ability to work collaboratively – and independently – on a tight schedule when necessary.
o Ability to work comfortably with staff at all levels of an organization – managing both upward and downward.
o Experience with confidential information and track record of discretion.
