Position Objectives:


The Litigation Program Administrative Assistant is responsible for supporting the smooth functioning of all administrative operations associated with the Animal Legal Defense Fund’s Litigation Program and personnel. This includes assisting with case management, data entry and review, electronic filing and recordkeeping, expense tracking, and scheduling.


  

Essential Duties include, but are not limited to:


·   Timely and efficient handling of invoices and other bookkeeping matters

·   Assistance with coordination of team calendar and scheduling of meetings using MS Outlook

·   Creation and modification of various documents using MS Word and Excel

·   Maintenance of electronic and paper files and documents related to LP

·   Assistance with electronic or manual filing of legal documents in accordance with relevant court rules

·   Review and tracking of court dockets for active litigation matters

·   Assistance with production of various document requests and reports

·   Communication and coordination with outside vendors

·   FOIA (Freedom of Information Act) request tracking and document record keeping

·   Assistance with data entry and verification during transition to new case management software and ongoing data maintenance thereafter

·   Assistance with migration of LP digital library to new case management software and assist with regular updates thereafter

·   Routine scanning, photocopying, and other administrative duties as requested by the LP team members

·   Contributions to the efforts and supporting the goals of the Animal Legal Defense Fund Litigation Program in various tasks as assigned

  

 

Qualifications:


·   A minimum of two years’ experience in similar administrative position(s)

·  Familiarity with law, litigation procedures and protocols, and the court system highly preferred

·   Must possess a high degree of computer literacy as well as expertise in Microsoft Word, Outlook, and Excel

·   An understanding of data management, preferably using legal case management or project management software

·   Experience with Adobe Acrobat

·   Must have excellent organizational skills and be detail‐oriented

·   Must have excellent prioritization skills and be able to meet deadlines

·   Must have a positive attitude, be able to work cooperatively with others and function well in a team‐oriented work environment

·   Must understand and be committed to the mission of the Animal Legal Defense Fund
