Position Responsibilities


  • Front office and phones
  • Ensure efficient operation of the front office.
  • Answer phones, handling inquiries or directing callers to the proper staff member.
  • Monitor front gate, inquiring about the purpose of the visit before admitting unknown persons to the THA campus.
  • Greet staff members, parents, students, and guests, providing directions, information, or materials as necessary.
  • Provide visitors with guest badges and oversees sign-in/out process.
  • Monitor security cameras, alerting the Chief Operations Officer, Principal, or Head of School to any unusual activity.
  • Receive and distribute mail, following established THA procedures for receipt and recording of checks.
  • Ensure students whose families are early to drop them off or late to pick them up remain in a safe, controlled environment.


  • Supplies & Equipment

Monitor and maintain office supplies and equipment.

Assist faculty, staff, and students with copying or printing as needed.

Place summer supply orders for faculty/staff, following established purchasing guidelines. (Task may be performed by Accounting Assistant during school year; OM will act as backup.)


  • Students
  • Complete daily attendance by 8:30 a.m. each day, recording absences and tardiness in student management system.
  • Make phone calls to families whose students are absent with no notification no later than 8:30 a.m. each day.
  • Notify Principal unplanned student absences longer than 3 days.
  • Monitor student sign-in and sign-out sheet, ensuring students are accounted for.
  • Provide tardy slips for students arriving after the school day has begun.
  • Monitor the care of student who are hurt or ill in the health room, including documentation and call parents as needed.
  • Administer and log daily meds as needed and/or according to pre-established student plan.
  • Provide new student packets to families new to THA.
  • Fulfill summer student records requests from other schools after receiving approval from the Chief Operations Officer or the Head of School.  (Task may be performed by Receptionist during school year; OM will act as backup.)
  • Monitor student phone call requests to ensure valid need for call.
  • Assist students without lunches in calling home for authorization to eat school lunch.
  • Assign locks and lockers to middle school students.
  • Support: General Studies Principal and Director of Admissions
  • Provide clerical support.
  • Write birthday cards for all students and have them signed
  • Maintain records of potential students
  • Provide support for ongoing professional projects
  • Support for Director of Hebrew and Judaic Studies
  • Provide clerical support.
  • Schedule meetings/appointments as needed.
  • Register and assign seating to Shabbat Lunch guests.
  • Faculty Support
  • Photocopying
  • Laminating
  • Handbook binders
  • PTO/Substitute Teachers
  • Maintain employee PTO calendar.
  • Maintain employee and substitute (guest teacher) sign-in/sign-out logs.
  • Student Records
  • Organize and maintain files, including coordinating rollover each summer.
  • Arrange yearly vision and hearing testing, working in conjunction with the P.E./Health Teacher.
  • Monitor and document annual student records for immunization, hearing, emergency forms, etc.; ensure timely reporting in accordance with state standards. (Some tasks may be performed by Receptionist during school year.)
  • Input discipline documentation when provided.
  • Master Class Schedule
  • Update master class schedule and student schedules.
  • Summer Tasks
  • Assign students and staff to Shabbat tables, working in conjunction with Principal.
  • Assist with assembly and mailing of summer packets to families.
  • Update maps to reflect staff and room changes.

Skills and Qualifications:

High school diploma or GED required; some college preferred.     

Minimum 3 years’ work in an administrative setting.     

Proficiency with Microsoft Office Suite.   

Proficiency with multi-line phone systems.  

Pleasant demeanor and outstanding customer service skills, as well

as the ability to handle the stress of a fast-paced environment and a wide

variety of stakeholder requests.

Strong written and verbal communication skills.

Strong organizational skills and the ability to handle multiple

tasks efficiently and effectively.

Solid work ethic; professional, positive attitude; and willingness

to perform tasks assigned.

Must have reliable transportation. 

Background check and fingerprint card required.    

Must be able to lift 20 pounds.

Must have COVID-19 Vaccine
