Job Title: Facilities and Volunteer Coordinator

Reports To: Executive Director

Pay Grade: 40 hours a week, $21.00 - $22.50 an hour, according to experience. Not OT exempt.

Summary: The Facilities and Volunteer Coordinator oversees the maintenance of Q Center spaces and a robust volunteer team. This includes but is not limited to: maintaining volunteer databases of up to 200 individuals, coordinating repair and custodial contracts and scheduling, and overseeing the calendar for Q Center space rentals. This position reports to the executive director.

Essential Duties and Responsibilities: 

Facilities Responsibilities  (15-25 hours a week):

  1. Reviewing and reporting on any repairs, upgrades or cosmetic work needed in Q Center Spaces
  2. Performing or contracting out repair and custodial services, as appropriate.
  3. Overseeing internal space usage/rental calendars.
  4. Liaising with other Q Center departments to understand and implement set up requests for individuals and groups meeting in Q Center spaces.
  5. Create, maintain, and update a “facilities manual” that clearly defines and describes position tasks, current and past contracts, scheduled facilities upkeep contracts, Q Center physical assets, etc.
  6. Oversee any volunteers specific to Q Center facilities work.
  7. Liaises with property owner to discuss and facilitate significant building changes or upgrades.
  8. Ensure that Q Center falls within measures of compliance for accessibility to all clients.

Volunteer Responsibilities (15-25 hours a week):

  1. Maintain and organize Q Center database of volunteers, including availability, tasks interested in/able to perform and any trainings/certifications received.
  2. Work with other Q Center departments to assess specific volunteer needs for the success of their programming and assign volunteers accordingly.
  3. Recruit, interview, orient, and place new volunteers on short-term and long-term projects.
  4. Plan and implement volunteer appreciation strategies and activities.
  5. Create, maintain, and update a “volunteers manual” that includes volunteer duties, orientation materials, templates for agreements and other necessary organizational materials.

Miscellaneous (as needed):

  1. Ensure quality service to patrons, visitors, staff, and volunteers at Q Center
  2. Actively seek out opportunities to collaborate with community partners such as other non-profits, local business, and community leaders for collective impact
  3. Assist staff and volunteers in situations requiring immediate problem solving or crisis management
  4. Review and provide updates for Q Center website, working in tandem with the administrative coordinator.
  5. Provide updates, announcements, and testimonials to communications coordinator, regarding volunteer opportunities and significant building upgrades.

Experience Required: This position expects one to two years of professional or equivalent experience with programs at non-profit organizations. Highly competitive applicants should have experience coordinating volunteer teams by task, to successfully complete program or project goals, as well as initiating and overseeing the maintenance contracts for professional buildings.

  • Experience with creating and maintaining databases
  • Ability to utilize calendar and scheduling assets to predict and plan for tasks.
  • Excellent time management skills
  • Ability to manage multiple projects and tasks within a day. 
  • Current driver’s license and access to a reliable vehicle.
  • Ability to perform general daily maintenance tasks. 

Preferred Skills/Experience

  • Experience with contracts, bids, invoicing, etc. preferred contracting with businesses (receiving bids, scheduling work, scheduling payments based on invoicing, etc.)
  • Experience managing a volunteer base, including outreach, growth, engaging, training, and managing.
  • Experience training and managing volunteer groups of at least 15 people in a single project.
  • Knowledge of best practices in project management and coordination
  • Experience monitoring a professional facility.
  • Talent for de-escalation and mediation of low-level conflict.
