Office Manager—Washington, DC

Mother Jones is looking for a take-charge office manager with great customer service skills and the ability to efficiently juggle multiple responsibilities with patience, grace, and good humor.

This position will be based out of our Washington DC office and will manage and support both our DC office and our NYC office (some travel to the NYC office is required). The office manager will provide critical support for Mother Jones' editorial staff as well as staffers in other departments. The position will report to our human resources director, who is based out of our San Francisco office.

This position may also include some additional duties supporting our Membership department. These duties would include facilitating the response to customer service calls, emails, and letters concerning individual and gift subscription problems, digital subscriptions, newsletters, back-issue sales, one-time low-dollar donations, and ongoing sustainer donations, among other responsibilities.

Major Responsibilities:

·      Purchase and maintain all office- and kitchen-related supplies for DC and NYC offices;

·      Assist with preparation of workspace, equipment, and paperwork for new hires in the DC and NYC offices;

·      Act as liaison with vendors and building management in DC and NYC offices;

·      Greet and receive all guests in the DC office; uphold and enforce office security procedures;

·      Handle incoming/outgoing mail and shipping;

·      Handle general troubleshooting for any problems with office infrastructure equipment, including copier and printer machines, audio/visual conferencing systems, phones, and coordinate with vendors as necessary;

·      Identify opportunities for streamlining and optimizing all aspects of office management, and implement systems and solutions to reduce costs, inefficiencies, and redundancies;

·      With input and support from the human resources director, coordinate office safety, ergonomics, emergency preparedness, and security initiatives;

·      Coordinate with tech support to manage office infrastructure that interfaces with our servers and directory systems;

·      With input and support from the human resources director, coordinate all aspects of office space maintenance and expansion or contraction, workspace setup and maintenance, storage space, and general office tidiness;

·      Offer general administrative support for the human resources director on other projects as needed;

·      Handle other duties as assigned by supervisor.

Qualifications:

·      Superior customer service, interpersonal and organizational skills;

·      A steadfast commitment to accuracy, detail, and efficiency;

·      The ability to maintain grace, good humor, and a pleasant and professional demeanor when interacting with staff, including when under pressure and juggling multiple priorities;

·      The ability to take ownership of staff requests and resolve requests with a sense of urgency in a fast-paced environment;

·      Must be able to communicate quickly and with confidence;

·      The ability to take direction;

·      Previous HR and/or customer service experience a plus;

·      Demonstrated proficiency with Microsoft Office products.
