The Development & Membership Manager will be responsible for the day-to-day development operations including campaign management (membership drives, member/donor education, and support), gift and grants acknowledgments, and support stewardship and cultivation. In addition, the Development Manager will be responsible for supporting development processes related to convening sponsorships and fees, grants management of mini-grants to giving circles, and data management for the annual AAPIP Board elections. Other responsibilities may be assigned at the discretion of the VP of Partnerships.

Reporting to the VP of Partnerships, the Development Manager will work in partnership with the Finance Department, Communications Department, and with the office of the CEO.

AAPIP’s main location has been in the San Francisco Bay Area but is now an entirely remote organization with all staff working from home unless traveling for work or in-person gatherings (frequency and location to be determined post-pandemic). While the location is therefore flexible, the preferred location for this position is either in the Bay Area or the New York City area.

Key Responsibilities:

Implement day to day development operations, inclusive of membership:

1) Process incoming checks, EFT, online payments, and donor portal transfers

• Data entry to reconcile the AAPIP’s development database twice a month

2) Ensure timeliness and accuracy of gift and membership processing and acknowledgments; assist with special acknowledgments; data entry:

• Provide member/donor and prospect support where needed (in person, phone, virtual)

• Maintain accurate records through regular upkeep of digital files and database management

• regular development reporting and reconciliation with finance with an eye towards timeliness and data accuracy/integrity

• Track and coordinate paperwork, CRM records, and correspondence with funders, donors, and members about payments and pledges;

• Maintain accurate records of all membership type income, grant income, with the VP of Partnerships draft reports and manage membership renewals;

• Track solicitations, grants, and memberships, as well as enter data in the appropriate CRM system

• Acknowledge all payments and steward (when appropriate), including producing annual tax statements to all donors

3) Member services:

• Support membership benefits and processing, including but not limited to job posts from members, preparing invoices for membership dues, supporting members-only programs, member welcome materials and connections, and member communications and programs.

• Support website updates and changes as they pertain to development and membership work

• Handle job postings for AAPIP’s jobs board

4) Manage development calendar and with the VP of Partnerships ensure timely submission of LOI’s, proposals, reports, and all requests to meet funder requirements and grant compliance for both AAPIP and its fiscally sponsored programs

5) In conjunction with the VP of Partnerships, create monthly summaries for the President and quarterly summaries for the Board Membership committee

6) Support development organizational infrastructure

• Maintain web-based forms and systems needed for online payments and event registration ensuring that outward-facing messaging and internal systems and policies are aligned

• Regularly document database and development procedures and support cross-training to ensure staff adoption and usefulness of database and related development systems.

Membership and Development Campaigns and Initiatives:

1) Support the VP of Partnerships in strategic and tactical support: develop member and donor strategies, manage the member and donor pipeline, maintain accurate information on members, donors, and prospects

• Support preparation for funder meetings with funder/prospect information and research, templatized messages, and clear timelines

• Implement the strategies for membership renewal drives (2x year) and new member campaigns

• Manage the outreach to institutional and individual members, tracking outstanding balances, renewals, and payment arrangements

• Execute strategies for securing annual funding from individuals, including but not limited to an annual appeal and special campaigns

2) Support AAPIP’s annual meeting & conference, convenings, as well as membership, partnership events, and gatherings.

3) Work closely with the VP of Partnerships on creative elements and products related to membership, donors, partnerships, and grants

• Support the Membership Committee and the VP of Partnerships to prepare for meetings and conduct follow up

• Support membership/partnership tasks at the discretion of VP of Partnerships

4) Draft development and membership communications such as, but not limited to, emails, print media, templates, and gift acknowledgments

5) Other tasks and/or projects as needed

Qualifications, Skills, and Experience

1) Three to five years of development experience, nonprofit settings are preferred

• Proven success in coordinating fundraising campaigns and/or membership drives

• The ability and willingness to regularly manage data and ensure updates on a continuous basis, working with colleagues to secure needed information

• Affinity for problem-solving by collecting relevant information, adapting and applying the learning for future tasks

2) Excellent written and verbal communications and interpersonal skills

• Ability to maintain confidentiality and always exhibit a high level of discretion, diplomacy, and integrity

• High level of relational awareness, emotional intelligence, and a “customer service” orientation, especially when engaging with current and prospective donors/funders/members

• Excellent written, speaking, editing, and research skills, including the ability to seek out and synthesize complex information from disparate sources

• Experience with and/or commitment to economic, social, and racial justice, including the ability to discuss these issues and their intersections in a nuanced manner

3) Top-notch project management (time management and organizational) skills, including the ability to manage outputs from the staff at all levels of the organization.

• Ability to prioritize, organize and complete multiple tasks with close attention to detail and prioritization to meet deadlines within a fast-paced, dynamic environment

• A self-starter who is also a collaborative team player, committed to excellence, open-minded, and demonstrates a growth mindset. Thinks creatively to solve problems, and works with a sense of humor and humility

• Ability to adjust hours based on seasonal needs (annual conference, convenings, and other such events or activities)

• Ability to work with multiple deadlines, adapt to changing situations, prioritize, and switch between different projects and tasks on short notice

4) Tech platforms and programs

• Experience with development databases is required

• Advanced proficiency with Microsoft Office and Google Apps, Zoom, Slack, and DropBox are required

• Project management software like Asana or Monday.com and development tools like HubSpot and SurveyMonkey are a plus

• Design and web skills in Canva, Adobe Creative, and WordPress are a plus as well as knowledge of social media as it relates to fundraising

• Bachelor’s Degree or equivalent in education and/or experience

5) Commitment to racial equity/gender justice and the mission of the organization

6) Quick learner and ability to take initiative and problem-solve; flexibility, willingness to listen effectively, seek and receive feedback; a sense of humor
