POSITION SUMMARY

NALEO Educational Fund, a national nonprofit organization serving the Latino community, seeks a Controller who will provide accounting and programmatic support to the Chief Financial Officer (CFO) in the management of the organization’s finances; the organization has multiple program offerings with diverse funding sources with complicated and detailing budgeting and reporting requirements that require close scrutiny and attention to detail. The CFO and Controller will work closely and collaboratively with program leaders across the organization to support the organization’s operations. Duties of the Controller include processing general ledger activities, preparing monthly and YTD financial statements, and being responsible for accounts payables. The Controller assists with payroll, receivables, deposits, special reports, bank reconciliations, budgeting, and the annual audit. In addition, the Controller partners with the CFO, senior leadership, and the human resources (HR) and information technology (IT) staff to enhance and integrate finance, HR, and IT functions. The position is based in  Los Angeles, CA and reports to the CFO. This is a full-time, exempt position with an annual compensation commensurate with experience.

 

ESSENTIAL FUNCTIONS

General Ledger

  • Maintain chart of accounts, create new project codes
  • Manages Accounts Payable: Coding of invoices, writing checks, maintaining records, paying bills on time
  • Maintains employee accounts receivable charges and payroll deductions for health, FSA and retirement
  • Responsible for all journal entries to accounting software, accuracy and corrections
  • Create various reports as requested
  • Prepare monthly employee insurance cost report
  • Update various schedules
  • Post all month-end entries
  • Prepares Monthly Financial Statements: Balance Sheet; Income Statements (monthly & YTD)
  • Maintain Credit Cards charges
  • Review, approve and reimburse employees’ Expense Requests
  • Prepares schedules showing detailed listing of charges, payments and balances by individuals or companies to verify accuracy: Employee Advances, Expense Reports, Payroll Deductions, Employee Share Insurance, Depreciation Expense, Unearned Revenue, Prepayments and Deposits.
  • Support annual audit, create reports, trial balance, and post adjustments.

 

Budgets

  • Assist the CFO in developing the organization’s yearly budget
  • Review budget proposals for completeness, accuracy and compliance with policies and regulations
  • Review use and status of funds and reconcile data discrepancies
  • Monitor organizational spending to ensure that it is within budget and it is properly allocated
  • Inform managers of the status and availability of funds
  • Forecast financial needs
  • Process and validate data sing Variance Reports
  • Assist in seeking ways to improve process and use resources more efficiently
  • Identify issues through regular review of budgets and financial statements and then provide solutions
  • Prepare routine reports using our accounting data system to extract and analyze data, solve problems and present results to the CFO

 

QUALIFICATIONS – KNOWLEDGE, SKILLS AND ABILITIES

  • Must have a B.A. /B.S. degree with a major in Accounting and 5 years accounting experience with 2 years in payroll and 2 years in grant allocations. Non-profit accounting experience is a plus;
  • Outstanding organizational and administrative skills, including ability to effectively interact with staff, elected and appointed officials, corporate business representatives, and the general public;
  • Prior experience with Abila MIP Fund Accounting required; technology savvy;
  • Proven ability to perform office automation duties using software applications such as spreadsheets, electronic mail, desk-top publishing, and database management required. 
  • A team player;
  • Excellent verbal and communications skills;
  • Must be able to handle multiple tasks and organize and prioritize workload efficiently;
  • Impeccable integrity, must be bondable;
  • Detail oriented with accuracy;
  • Ability to assume responsibility and work independently;
  • If a driver, must have a valid driver’s license with proof of automobile insurance coverage;
  • Ability to work respectfully with people from all cultural and socioeconomic backgrounds;
  • Supportive of the mission and philosophy of the NALEO Educational Fund.

 

PHYSICAL AND MENTAL ASPECTS OF THE POSITON

Certain physical and mental aspects of performing the essential functions of the position include the following:


  • Ability to detect, discern, recognize, and perceive auditory and visual information within normal ranges;
  • Dexterity to read, write, type, operate office equipment such as a computer, printer, telephone, calculator, copier, fax machine, pencils, pens, and stapler;
  • Ability to remain in a stationary position 50% of the time.
  • Ability to lift and carry up to 25 pounds.
