Since 1971, Hopelink has served homeless and low-income families, children, seniors and people with disabilities in the north and east King County, WA. With service centers in Redmond, Bellevue, Kirkland, Shoreline and Sno-Valley (Carnation), we are the largest nonprofit organization in the area. Hopelink programs and services focus on five key areas: food, financial assistance, housing & family development, adult education & employment and transportation/mobility. Programs are aimed at helping people achieve stability, and helping them gain the skills and knowledge they need to exit poverty for good.

 Summary:

The Development Program Coordinator will serve in two roles, first as liaison between the Volunteer Program, volunteers, and Hopelink teams who utilize volunteers (volunteer supervisors) throughout the agency. This position provides administrative and coordination support through data and file management, orientation, and outreach participation. Working directly with volunteer supervisors, the Coordinator helps ensure that volunteer needs are identified and met. Secondly, acts as administrative support to the VP Advancement & External Relations and the Development team by supporting team activities; scheduling meetings, preparing materials, maintaining supplies, and assisting with various fundraising/donor events.

The ideal candidate brings excellent customer service skills and a flexible, positive attitude. Must be comfortable juggling and prioritizing the needs of multiple stakeholders.

Essential Functions:

 Volunteer Coordination

·       Builds partnerships and works with volunteer supervisors across the agency to identify and fill volunteer needs.

·       Serves as the initial point of contact for all potential group volunteers. Explains application process; communicates basic requirements and available opportunities. Provides referrals to other community volunteer opportunities when appropriate.

·       Develops connections with corporations and organizations to support the agency through group volunteer efforts.

·       Working with the Sr. Manager of Engagement & Training and the Safety & Risk Manager, ensures that all new and current volunteers complete Welcome Project and safety trainings. Utilizing the Volunteer Management database, maintains accurate records of scheduling and completion of trainings.

·       Ensures accurate and timely completion of all data entry for group volunteers.

·       Maintains current list of volunteer opportunities; develops a marketing and recruitment strategy to reach out to diverse populations using diverse media.

·       Provides support for Volunteer Orientation and other Volunteer Program events. Copies and prepares necessary materials including agency collateral for orientations. Presents material at volunteer orientations. 

·       Prepares current Volunteer Needs document for each orientation by communicating with program Coordinators across the agency.

·       Re-runs individual background checks for individual volunteers.

·       Maintains volunteer database.

·       Assists in creating and maintaining policies and procedures for the Volunteer Program.

 

Administrative/Team Support:

·       Provides administrative support to VP Advancement & External Relations; supports Advocacy Day organization (every two years), credit card reconciliation, and other related administrative duties or miscellaneous projects as assigned.

·       Provides administrative support for monthly staff meetings; prepares agenda, records meeting notes and schedules conference rooms.

·       Prioritizes a demanding and varied workload.

·       Provides support for Hopelink sponsored fundraising events and occasional support for community sponsored events.

Desired Qualifications: 

·       AA or BA degree or an equivalent combination of education, related work experience, and/or military service

·       2+ years office/administrative or project coordination or related experience

·       1+ year experience coordinating volunteers and/or significant personal volunteer experience

·       Ability to work occasional evenings or weekend hours to accommodate external events

·       Ability to use personal transportation for frequent travel to locations throughout King County.

·       Proficient in Microsoft Office software including Outlook, Excel, Word, and PowerPoint; some database experience. 

·       Excellent interpersonal skills, an outgoing personality and a strong commitment to customer service.

·       Communicate effectively both orally and in writing; able to effectively speak in front of groups.

·       Ability to work effectively as a team member, to manage multiple tasks and set priorities.

·       Vision abilities required by this job include close vision and the ability to adjust focus. 

·       The noise level in the work environment is usually moderately quiet.


Licenses, Certificates and other requirements:

·       Valid Washington State driver’s license.

·       Reliable personal transportation.

·       Proof of personal automobile liability insurance.

·       Must pass criminal background check through the Washington State Patrol.
