Position Overview: Registrar and Communications Coordinator

iBme seeks to hire a full time team member for our Concord, MA office. This role will oversee the registration process for approximately 15 annual retreats, connecting with parents, teens, young adults, and adults who are interested in iBme’s retreat programming. Additionally, this person will provide administrative support to the Outreach and Communications Manager. The Program Coordinator’s primary tasks will be communication with potential retreat participants via phone, email, and social media, and all aspects of registration for retreats.

The ideal candidate will be detail oriented, professional, and communicate effectively, both verbally and in writing, and possess a high level of ownership and accountability. They will have strong interpersonal skills, with the ability to encourage authentic engagement, sharing, and reciprocity among our vibrant network of teens, parents, retreat staff, teachers, and donors.

Registrar Duties (80% of time)

  • Assume a proactive role in increasing the efficiency and organization of iBme programs by bringing excellence to this role
  • Take lead on retreat registration for teens, young adults, and adult retreats. These duties include:
  • Moving people through the admissions process including requirements for application, payment, and follow-up
  • Coordinating mental health screenings for participants
  • Responding to inquiries about registration and retreats through registrar@ibme.info and contact@ibme.info
  • Using Google Drive sheets, docs, photos, calendar, and gmail (and add-ons) to manage participant lists, staff needs, and other logistical details for retreats
  • Liaising between iBme and the Retreat Manager to ensure full and open communication
  • Triage, respond to, and follow up on emails and phone call inquiries that come into iBme
  • Maintain an accurate and up-to-date Salesforce database of participants
  • Maintain an organized system for retaining documents and information
  • Engage in general administrative tasks such as scanning, filing, copying, faxing, etc.
  • Perform other duties as assigned by the Program Director


Communications Duties (20% of time)

  • Take point (with supervision and support from Outreach and Communications Manager) on all social media accounts for iBme including: Facebook, Twitter, YouTube, Instagram, Linked-In, and website, with periodic posts as detailed in the social media plan
  • Assist with other communications and outreach related tasks as needed by the Outreach and Communications Manager

Additionally, the right candidate will have the following skills and experience:


  • Familiar and capable with various technologies: Google Drive suite, Zoom, Facebook and other social media platforms mentioned, and Salesforce
  • Friendly customer service skills and the ability to speak for the organization
  • Familiarity with youth programming and compliance with industry standards/laws
  • Comfort and ability to work with remote colleagues
