Description

MAS seeks a full-time Administrative Assistant to provide support in the planning and execution of the organization’s public programs, events, and education initiatives throughout the year, including signature events like the MAS Summit for New York City, Celebrating the City, Jane’s Walk, MAS Urbanist Events, and the Livable Neighborhoods Program. This position also provides administrative support, as needed, to the Office of the President, as well as the planning team. 


Position Description

Under the guidance of the Vice President, Policy & Programs, and with supervision from the programs, events, and planning teams, the Administrative Assistant will:

  • Support the coordination of pre-, post-, and day-of event logistics with venues, vendors, staff, and organizational partners
  • Support event-related outreach and communications including: issuing and tracking speaker invitations, facilitating timely responses and upkeep of departmental email inboxes, drafting and designing program and event eblasts and collateral, and facilitating website updates 
  • Manage and provide timely reports on event guest lists and attendance tracking 
  • Coordinate, schedule, and prepare materials for meetings and calls, taking detailed notes for follow-up
  • Assist in researching prospective program partners, event venues, and vendors 
  • Maintain up-to-date tracking systems and organization of event archives and support data entry into Neon (the organization’s customer relationship management software)
  • Work across departments to help strategize and develop a full calendar of programs and events that aligns with MAS’s advocacy, taking the lead on particular events as appropriate


Minimum Requirements

  • 1-2 years of full-time work experience
  • Bachelor’s degree
  • Proficiency in Microsoft Office and Adobe Creative Suite products
  • Database, Photoshop, and Wordpress experience a plus, but not required
  • Extremely detail-oriented, organized, resourceful, collaborative, eager to learn, energetic, and accountable
  • Ability to work well both independently and with a team
  • Ability to work occasional nights and weekends as needed
  • Ability to multi-task, meet multiple deadlines, maintain a sense of humor, and keep a calm demeanor in a fast-paced environment
