Urban Alliance seeks an exceptional, mission-driven individual to serve as Special Assistant to the CEO and COO based in Washington, DC. The Special Assistant will maximize the CEO and COO’s effectiveness, and will play a critical role in ensuring the continued success of the organization.  

 

The ideal candidate will be hard-working, resourceful, and mission-driven. He/she will possess a deep commitment to empowering the next generation workforce, demonstrate strong verbal and written communication skills, and thrive in a dynamic and fast-paced environment. Reporting directly to the CEO and COO, the Special Assistant will provide executive support, including by coordinating cross-functional projects, providing scheduling and other administrative support, and ensuring the CEO and COO are prepared for daily engagements. The Special Assistant will maintain exceptionally sound judgment and professionalism at all times, have the ability to work independently on complex projects, and handle confidential matters with discretion.  

 

Qualities and Qualifications:  

  • Ability to consistently deliver high-quality assignments with little-to-no supervision or guidance, including reports, memos, and externally-facing slide decks.  
  • Ability to efficiently conduct research and synthesize relevant information in a digestible format.   
  • Ability to manage cross-functional projects, draft emails and reports, and conduct accurate data entry.   
  • Excellent verbal and written communications skills.  
  • Strong interpersonal skills and resourcefulness, unwavering work ethic, and desire to work in a dynamic environment.   
  • Expert knowledge of Microsoft Office required; Proficiency with Concur and Salesforce desired.   

 

Education and Experience:  

  • Associates degree required.  
  • Two plus years experience providing high-level administrative, staffing, or operational support to a senior executive highly preferred.  

Sample Duties and Responsibilities:  

  • Manages incoming calls and visits to the office with a high degree of professionalism at all times and models sensitivity to assure that callers and visitors are handled in accordance with effective customer service practices. 
  • Exercises sound judgment and decision-making skills to resolve sensitive matters, referring persons to the employee on our team who can best address their needs and concerns most effectively. 
  • Maintains the calendar for the CEO and COO, scheduling appointments and conferences without considerable guidance.  
  • Serves as liaison between staff and external technology contractor for equipment maintenance and other technology support.  
  • Manages supply purchases and supports with general office management responsibilities.  
  • Makes necessary arrangements for meetings, including space, time, attendees, etc.; Prepares or arranges for preparation of background and presentation materials, as needed.  
  • Receives, reads, and screens incoming correspondence, reports, and other written materials, handling some items personally and distributing selected items to other appropriate staff. 
  • Monitors the preparation of or personally prepares correspondence for the CEO or COO’s signature. 
  • Reads outgoing reports and other correspondence for procedural and grammatical accuracy, conformance with policy, and factual correctness. 
  • Schedules trips or local visits for the CEO and COO, making travel and hotel reservations when required. Notifies organizations and persons to be visited, keeping in touch with CEO and COO en route.  
  • Drafts meeting agendas, takes concise meeting notes, and tracks progress made on key deliverables. Drafts slide decks, email, and other correspondence for the CEO and COO upon their request. 
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows-through on projects to successful completion under tight deadlines.  
  • Reconciles and submits monthly business expenses for the CEO and COO; Maintains detailed record of business expenses by fiscal year. 
  • Performs related work and supports the implementation of special projects, including the execution of public events, as required.
