SUMMARY OF RESPONSIBILITIES:

The Chisholm Legacy Project Executive Assistant will report to the Executive Director, with support and oversight by the Managing Director.  Job responsibilities will include the following:

  1. Maintain dashboard of requests/action items for which the Executive Senior Director (ED) is responsible, including fielding and responding to requests;   
  2. Develop and maintain an external requests dashboard to catalogue, track, and follow up on requests made by the ED to team members, fiscal sponsor, partners, etc.;
  3. Maintain a directory of all key information for the ED’s attention and easy reference;
  4. Manage ED’s calendar, including scheduling, securing space/Zoom, notification and reminders to participants, taking minutes/notes, disseminating minutes to participants, ensuring all material, equipment, and technical support for meetings, etc. as well as track and follow up on deliverables/action items from meetings;
  5. Develop and maintain ED picture/video library;
  6. Maintain updated ED Outlook contacts and other contact lists;
  7. Manage mechanics of supervision of direct reports including scheduling weekly meetings, ensuring all timesheets are submitted and approved, etc.;
  8. Prepare travel and per diem request paperwork as well as prepare expense reports as well as reimbursement and disbursement requests and track and follow up on payments due internally with the fiscal sponsor and externally with speaking engagements;
  9. Field inquiries to the main email address;
  10. Maintain documentation/reporting on ED activities;
  11. Prepare and/update Powerpoint presentations;
  12. Take dictation for drafting memos/blogs/articles, as requested; and
  13. Other duties as assigned.

  • Track record of success supporting multiple projects/events/activities.
  • Exemplary time management skills
  • A passion for advocating for the creation of progressive policies and programs as
  • well as for the elimination of social policies and practices that lead to
  • racial and ethnic disparities.
  • Expertise in the Microsoft Office Suite, ideally including desktop publishing and Powerpoint skills.
  • Ability to travel upon request.
