The GMHC Consumer Advisory Board (CAB) is a consumer based volunteer board which is empowered to advocate and represent the interests and concerns of the almost 15,000 GMHC clients and engages in various meetings, activities and events to fulfill this mission.
Essential Job Functions
The Consumer Advisory Board Administrative Coordinator will provide a variety of administrative support tasks and responsibilities for the Consumer Advisory Board (CAB) and its associated committees, activities and events. The preferred candidate will be an organized, detail-oriented, self-starter with excellent communication, writing, and computer skills. Demonstrated consensus building, decision-making and interpersonal skills are essential. This is a highly visible, fast-paced position. Accordingly, the successful candidate should be adaptable, able to re-prioritize and shift gears quickly, comfortable in a high-pressure environment and be politically savvy, diplomatic, responsive, and mature, with a proven ability to handle confidential information with discretion. Interest in and commitment to GMHC's mission is important.
- The Consumer Advisory Board Administrative Coordinator works closely with the Chairperson of the CAB and the Staff Liaison to the CAB in support of the CAB's planning, administrative and outreach activities
- Prepare for CAB's meetings by printing agendas, minutes, and other documents
- Prepare and distribute meeting notifications, correspondence, and agenda materials
- Attend CAB and committee meetings.
- Record and prepare minutes at CAB meetings, including recording the essential content of discussion, motions and votes, transcribing notes and checking draft copies of minutes for appropriate grammar, technical terminology, spelling, and sentence structure
- Maintain organizational files and documents
- Perform support activities for the CAB Chairperson and the Staff Liaison which may include assisting with presentations and reports
- Maintain, as needed, both mailing & contact lists of board and committees, including website updates
- Create mailings, newsletters, and other materials for CAB and committee members
- Organize monthly meetings of the CAB and its Committees, participating in all full CAB meetings and in Committee meetings as needed, including evening meetings
- Develop relationships with consumers, staff and administrator's and foster collaborations to further the CAB's mission
- Represent the CAB as needed at meetings, events and activities
- Conduct topical research on planning issues and other matters of concern to the CAB and to the GMHC community
- Maintain minutes, correspondence and prepare Summary of Board Activities for the fiscal year
- Proactively manage and work within the CAB office including answering and screening calls, managing the calendar, scheduling internal meetings.
- Facilitate the organizing of CAB projects, events and programs.
- Maintain communication among CAB members, community members and others using postal mailings and email, and administer the CAB's communications
- Develop effective work plans, organize details, set priorities, and meet deadlines
- Assist with the selection of CAB members to participate in GMHC staff group interviews for candidates of client-facing positions
- Work alongside the Sr. Director, Training & The Volunteer Center on the development, implementation and maintenance of the Peer Training Program

- Ability to work in a fast paced work environment where work interruptions may be frequent
- Ability to manage multiple projects, timeframes and deadlines that may be occurring at once
- Standard work week is 35 hours, however the need for a flexible schedule will arise during certain time periods.
- Travel to off-site locations within NYC area may be required for meetings, events, activities
Education and Certification
- Bachelor’s degree required
- Master’s degree preferred and/or 2 years of satisfactory experience in Community Work, Public Administration or Planning or related fields
- One year of satisfactory experience preferred in Public Information or Relations in a supervisory, administrative lead, or supporting capacity
- Education and/or knowledge of HIV infection and AIDS
