Cape Eleuthera Foundation, Inc. is a 501(c)(3) nonprofit founded in 1997 to support transformational educational experiences with the mission of leadership effecting change on the island of Eleuthera in the Bahamas. The Foundation’s Philadelphia-based team raises funds to help young people realize their potential, explore academics outside of traditional classroom walls, gain perspective on cultures different than their own and make a positive impact on their world. The Island School Semester and Summer Term, our Deep Creek Middle School, our Early Learning Center, and our Community Outreach deliver unique educational journeys in partnership with the authentic and meaningful work our organization undertakes in marine conservation science at the Cape Eleuthera Institute and sustainable design and innovation through our Center for Sustainable Development


Job Summary

We are looking for a self-motivated and detail-oriented individual to join our small Philadelphia-based team as the Advancement Assistant. Reporting to the Director of Development Operations, the Advancement Assistant dynamically supports the admissions, fundraising, alumni relations, and communications goals of the Foundation. Working collaboratively across teams, the Advancement Assistant takes initiative and works creatively and strategically in an administrative and database-focused role. 


Essential Duties and Responsibilities

Primary responsibilities include, but are not limited to:

Fundraising/Development

  • With Director of Development Operations, create and track donor proposals and campaigns in Salesforce
  • Draft pledge reminder letters and pledge agreements
  • Assist in preparing grant applications and track grant cycle
  • Routinely update and maintain records in Salesforce 
  • Create and maintain reports for use by Advancement team
  • Conduct prospect research as needed using iWave database
  • Participate in donor stewardship efforts


Admissions and Alumni Relations

  • Input and update information and maintain Salesforce reports of all program alumni and admission processes, in coordination with the Associate Director of Admissions and the Alumni Relations & Development Associate
  • Assist in preparing communications for applicants during the admissions process, including upcoming events, application updates, and decision letters 
  • Assist in collecting, tracking, and preparing enrollment forms for admitted students


Administration and Communications

  • Respond to email and phone inquiries
  • Assist in preparing annual campaign materials and communications to donors, including annual report 
  • With Communications team, manage and maintain MailChimp account for the Advancement team, creating templates, campaigns, and scheduling messages
  • Assist in planning and executing donor, admissions, alumni, and board events, including annual board meetings
  • Represent The Island School in various on-stage, virtual, small group, and one-on-one interactions


Skills and Qualifications

  • A university degree and/or an equivalent combination of education
  • Demonstrated ability to take initiative and work independently
  • Excellent written and oral communication skills
  • Demonstrated administrative and organizational skills
  • Ability to manage multiple projects and adapt to accommodate delegated tasks
  • Proficient in Microsoft Office, Google Suite, MailChimp
  • Experience with Salesforce is preferred
