What you'll be doing:

In support of Planned Parenthood of Southern New England’s mission, the Administrative Services and Volunteer Coordinator is the primary point of contact for visitors and deliveries to the New Haven headquarters office and performs a range daily on-site administrative responsibilities to support PPSNE’s operations. This position also coordinates several administrative functions to support PPSNE’s volunteer, intern, and student placement programs. The Administrative Services and Volunteer Coordinator is “the face” of PPSNE to all the agency’s contacts and is expected to consistently carry out the responsibilities of the position with a warm, professional, and highly customer-focused approach. Because key responsibilities of this role must be performed on-site daily at PPSNE’s New Haven administrative office, this position cannot be performed remotely.  


Job Responsibilities:

·        Manages all incoming telephone calls using a multi-line phone system 

·        Acts as primary receptionist for incoming guests

·        Coordinates the inventory maintenance and ordering of office and cleaning supplies for general use by administrative and facilities staff

·        Helps to monitor the parking lot

·        Recognizes emergency situations related to facilities and acts quickly to begin remediation

·        Oversees the outgoing mail processes and receipt of deliveries

·        Performs a variety of administrative responsibilities to support services of the agency such as (but not limited to) arranging catering services for meetings and events held at the Administrative Office and distributes daily newspaper and weekly milk deliveries throughout the building.

·        Assists with routine internal communications

·        Follows all PPSNE Security Policies and Procedures

·        Serves as a point of contact for volunteer and student inquiries

·        Coordinates the onboarding and orientation processes for new volunteers, interns, and students

·        Updates and maintains the volunteer database and volunteer files

 

 

Job Qualifications:

·        Passionate commitment to the mission, vision and values of PPSNE

·        Must have excellent administrative skills including document preparation and review, tracking, filing, phone etiquette and culturally sensitive customer service skills

·        Ability to work in a confidential and time sensitive environment

·        Excellent cross-cultural communication skills (verbal and written)

·        Demonstrated commitment and passion for equity and inclusion

·        Must be highly proficient in Microsoft Office Suite (Excel, PowerPoint and Word) and Office 365 (OneDrive, Teams)

·        Time management skills and attention to detail is essential

·        Must possess the ability to work with changing priorities and simultaneously handle multiple projects

·        Bachelor’s degree preferred; but not required

·        Communicates clearly and directly, continually able to hear, reflect, and act on feedback related to identity and equity with the aim to learn

·        Awareness of multiple group identities and their dynamics, and brings a high level of self-awareness, empathy and humility to interpersonal interactions

·        Interest in expanding your knowledge about the role that racial inequity plays in our society, and are committed to building and/or deepening your commitment to racial equity in your work
