Full Job Description

The Syrian Forum USA (SF-USA) is looking for a dedicated and enthusiastic full-time “Admin Officer” to work from the SF-USA’s DMV area office.

SF-USA is a non-profit 501(c)(3) organization focusing on rebuilding Syrian lives through empowerment projects, such as relief and development, training and innovation, community advancement, policy research and engagement workshops, media and journalism, and capacity building programs.

The Admin Officer is the core support role for all events and activities at SF-USA. He/She is a public-facing professional who loves serving people, with business management experience and strong knowledge in nonprofit to assist with marketing and business development. The Admin Officer is a team player and detail oriented, who has strong communication skills, strong work ethic, and is comfortable in dealing with technology and data. He/She handles donor services, data, reporting, supplies, office, and document maintenance, events and tour logistics.

This is a full-time position that reports directly to the Executive Director.

Job Responsibilities

  • Conduct donor services and assist in marketing and development.
  • Donors Data maintenance, analysis, reporting and management.
  • Bookkeeping and document archiving.
  • Manage and conduct Inbound and Outbound Phone, mail and campaign communication.
  • Donor Follow-up and relation management.
  • Manage donations and deposit into the organization's account when needed.
  • Maintain office procedures and implement policies.
  • Coordinate schedules, arrange meetings, distribute memos and reports. Ensure that everyone is kept current on necessary company news and information.
  • Maintain events calendar and secure participation in main events.
  • Arrange travel and accommodation for board members/co-workers.
  • Manage logistics for various events.
  • Prepare and attend events and conventions.
  • Contact Masajids or Islamic Institutions for Kuthbahs/fundraising tables during Jummah and/or Ramadan (our busiest time of year).
  • Prepare donation and event reports.
  • Manage supplies and place orders.
  • Recruit and manage administrative assistants
  • Recruit and manage volunteers.
  • Perform other duties as assigned.

Qualifications

  • Strong organizational, time management and scheduling skills.
  • Able to work as a team player and independently while being customer service oriented.
  • Pays attention to details, and ability to multitask, with eagerness to learn, and a willingness to take ownership of tasks both big and small.
  • Comfortable in public speaking and shows strong work ethic.
  • Minimum 3-year experience in administrative setting.
  • Previous experience with Kindful or similar donor management systems.
  • Proficiency in MS Office, other office programs and helping technology with openness to learn.
  • Exceptional English verbal and written communication skills. Able to draft and review professional correspondence, manage telephone calls, and greet and manage walk-in visitors (Arabic or Urdu is a plus).
  • Comfortable with domestic travel (about 25%).
  • Associate, bachelor degree or equivalent.
  • The ideal candidate will bring an awareness of how nonprofits operate.

Compensation:

This is a full-time salaried position.
