Friends of the Parks is a 45-year-old non-profit park advocacy organization whose mission is to inspire, equip, and mobilize a diverse Chicago to ensure an equitable park system for a healthy Chicago. Friends of the Parks envisions a well-balanced Chicago park system, protected by Chicagoans for Chicagoans, to advance the individual, community, public, ecological, and economic health and well-being of our city.  Current departments include Policy and Advocacy, Environmental Education, and Neighborhood Parks.

The Operations and Events Coordinator reports directly to the Executive Director but will also work closely with the Executive Director’s executive assistant and department directors as well as collaborating with and supporting other program staff and consultants. 

The following list of responsibilities will be prioritized and a work plan established in collaboration with the Executive Director upon hire depending on immediate organizational needs.  But the right candidate will enjoy balancing multiple duties and projects at a time, identifying the need for and developing creative solutions, and working together as a team.  The most immediate term big project will be coordinating our move to another downtown office.

Responsibilities

Office Management
  •  Ensure a neat, clean, orderly, and accessible office which gives the best possible first impression and welcome to office visitors and facilitates the smooth work flow and team functioning of staff, board, and volunteers. 
  •  Serve as on-site contact person for relationship with building management and use of building conference facilities.
  • Manage the day-to-day operations of the office including supply management, equipment maintenance, overhead, insurance and service contracts. 
  • Ensure organization and maintenance of key electronic and hard copy files to facilitate efficient office functioning and in accordance with appropriate records retention policies and privacy and security requirements. 
  • Facilitate smooth system for receiving, distributing, and facilitating office mail and appropriate routing, inputting fundraising and communications data into databases, and processing of donation checks and bills to bookkeeper and other appropriate staff.
  • With the support of IT consultant, ensure adequate information technology support for general organization needs and specific staff needs, including but not limited to conducting periodic assessment of hardware, software, and system needs and organizational technology policies and providing individual support to staff and volunteers to ensure effective and efficient IT use, as needed. 
  • Support creation and distribution of organizational fundraising, membership, and communication materials, including appeal and thank you letters to donors. 
Special Events 
  •  Lead the logistical aspect of all organizational special events (including but not limited to Earth Day, fundraisers, friend-raisers, conferences, park tours, lectures, etc., as appropriate) in coordination with other staff. 
  • Coordinate with fundraising, membership, communications, and program staff to ensure that each special event addresses and successfully accomplishes all organizational goals established for each event, as established. 
  • Ensure appropriate staffing and volunteer support for all FOTP events, including communicating and coordinating with other staff to identify support needs and potential resources. 
  • Provide staff support to any special events-related endeavors of the Board of Directors as needed.
Other

QUALIFICATIONS 

  • BA in Organizational Management, Business, or related field, or relevant professional experience. 
  • Experience managing logistics and events essential
  • Experience with Microsoft Office programs essential.
  • Office management experience preferred 
  • Experience managing volunteers preferred.
  • Experience with websites, databases, and Constant Contact extremely helpful. 
  • Experience with small non-profit membership programs and fundraising a plus. 
  • Strong typing, interpersonal, written and verbal communication skills and attention to details necessary. 
  • Energetic, innovative, and enthusiastic individual who has the ability to work quickly and efficiently on several projects at one time. 
  • Must be creative and enjoy working within a small, entrepreneurial team environment that is mission- and outcomes-driven. 
  • Excited about working in a cross-cultural, equity-focused environment. 


COMPENSATION 

This is a salaried position which pays $30,000. A comprehensive benefits package is included.
