Primary Function:


This position will assist in developing relationships and managing (4) special event galas in multiple markets.  Responsibilities include, but not limited to, assisting with the following; implementing campaign plans, budgeting, managing mailing lists and mailings, vendor selection, database management, social media, communications, volunteer and staff management and administrative tasks as necessary.  Duties also include assisting with event participant recruitment and donor cultivation.


The Special Events and Community Development Assistant shall have responsibility for the execution of activities and programs related to building and maintaining a database of NMF’s constituents, providing administrative support to the development department to include scheduling meetings and managing calendars. He/she shall assume and perform his/her responsibilities in a professional manner, with a recognition of the merit and need to integrate, as appropriate, development initiatives with other activities and programs of NMF.   

 

MAJOR DUTIES AND RESPONSIBILITIES:


Computer and Database

The management of a computerized database (Raiser’s Edge) that shall contain records of all constituents, including: former and current Scholars and Fellows, mentors and advisors, friends, corporations, foundations, Board members and such other constituents as may be identified; shall formulate, in consultation with the Chief Development Officer, procedures and standards for the maintenance and updating of the files and records of all individual constituents; shall assist the Donor and Alumni Engagement Associate in the maintenance of files and records of institutional constituents, including corporate, foundation, association, and government contacts; shall become proficient in the use of the database program, and its interface with word, excel and other relevant software programs, with such proficiency to include, but not limited to: use of fields, fund codes, and accounts, selecting, sorting, merging, and report design and generation features; shall develop and maintain a manual of NMF database policies and procedures; shall monitor NMF back-up procedures to ensure that regular back-ups are being performed; shall provide support and training, as appropriate, on use of the database to other NMF staff; and shall assist in the formulation, implementation, and maintenance of NMF’s Donor files. 

 

Special Events

  • ·Logistical execution of NMF’s Champions of Health Awards. Working with the Chief Development Officer, Special Projects Advisor and other key Staff, assist in planning and coordinating all aspects of event logistics and details
  • Lead on-site management of event logistics
  • Ability to respond creatively and diplomatically to conflicting priorities
  • Ensuring all donor information is entered into donor management software, necessary thank you and acknowledgement letters are generated timely and accurate reports are being created and utilized
  • Coordinate and manage event follow up and donor tracking efforts as well as outcome/results reports
  • Galas, Specialty and Cultivation Receptions
  • Manage the production of collateral materials in print and online versions, including: save the dates, invitations and journals, webpages, eblasts, etc;
  • Manage event pages
  • Prepare event/program slides and assist in the development of scripts

 

Administrative

·        Utilize RE to update constituent information. 

·        Must be capable of managing relationships in multiple time zones and working virtually

·        Manage and execute timelines effectively  

 

Other Responsibilities

·        Performance of other responsibilities assigned by the Chief Development Officer, in consultation with the President and Chief Operating Officer, and that are consistent with the development functions of NMF.

Strong computer skills required, with expertise in Raiser’s Edge and HTML preferred.
