Accounting Assistant

Reporting to the Controller, the Accounting Assistant will complete a variety of critical tasks and functions within the Accounting Department. With an emphasis on the museum’s Accounts Payable and Receivable functions, this role will be responsible for accurately and efficiently recording most recurring and non-recurring activity in our general ledger, sourced from a variety of systems and reports. Additionally, as the person responsible for maintenance of the department’s physical and digital files, and under the guidance of the Controller and the Senior Accountant, the Accounting Assistant will help provide support and documentation during the external year-end audit.

Responsibilities include but are not limited to:

  • Full cycle Accounts Payable processing
  • Miscellaneous Accounts Receivable processing
  • Recording of daily admissions activity, as reported by our admissions system.
  • Recording of other recurring and non-recurring activity including, but not limited to, bi-weekly payroll, monthly retail, and other adjustments as directed by members of the Accounting Department or Museum department managers.
  • Accounting Department file management
  • Serve as back-up for Payroll processing
  • Assist Controller and Senior Accountant with coordination of materials for annual audit
  • Assist Controller with special projects and other department management tasks, as needed

Skills and Requirements:

  • Associate’s or Bachelor’s Degree in Accounting, with 0-3 years related experience
  • Experience working in a non-profit / cultural institution (in an accounting or non-accounting role) a plus
  • Excellent inter-personal and communication skills, with an emphasis on customer service, and timely responses to inquiries
  • Detail oriented with the ability to prioritize a varied workload to meet deadlines

Technology Requirements:

  • Strong knowledge of Microsoft Office, particularly Excel and Word required
  • Experience with computerized accounting systems helpful, specifically Blackbaud’s Financial Edge, and web-based Accounts Payable processing systems.

Compensation:

This is a regular full-time non-exempt position. The Whitney offers a full benefits package including medical, dental, and vision care. Other benefits include a 403B with employer contribution, transportation benefits and free admission to most Museums nationally.
