STATUS:                             Non-Exempt, Full Time

·        BA/BS in accounting or a related field

·        Minimum of 4 years of experience in one or more of the following fields: Payroll or accounting




·        Detail oriented and attention to detail

·        Ability to maintain accuracy while handling large volumes of payroll batches

·        Demonstrated organizational skills

·        Ability to multitask

·        Self starter

·        Team player

·        Strong use of the English language in verbal and written communication

·        (Spelling - 90% Grammar – 85%)

·        Excellent telephone skills

·        Ability to work in a fast-paced environment and maintain poise under pressure

·        Ability to establish and maintain effective working relationships with a variety of people

·        Demonstrated initiative and flexibility in meeting the needs of a position and department

·        General accounting or bookkeeping knowledge

·        Proficient typing skills (60 words per minute)

·        Microsoft Word and Excel required

·        Previous experience with payroll systems preferred

·        Knowledge of time clock systems preferred

·        Working knowledge of integrated database applications and ability to use new software programs with basic training.




Provide assistance to the Payroll Manger and provide support for the department, ensuring that all needs are served and met. This position is also responsible for administering all payroll operations of the NW Divisions in the Payroll Manager’s absence. This includes any and all payroll related situations that could arise. The Assistant Payroll Manger is also the immediate supervisor and trainer of any temporary payroll help during the busy seasons.




·        Ensure the accuracy of all payroll deductions

·        Ensure adequate internal controls are implemented and maintained in the payroll system and payroll processing procedures including, but not limited to

1.   Process the Payroll Status Change forms for hourly and exempt employees (new hire, termination and status changes)

2.   Ensure the accuracy of GL codes for each location

3.   Enter updated budget information into the payroll system and monitors for accuracy to include all allocations

4.   Enter W-4 changes (addresses and exemptions) and direct deposit changes

5.   File timecards/timesheets, Payroll Status Change forms and other payroll documents form the corps/units

6.   Fill out and respond to employment and Social Security Administration requests in a timely manner

7.   Monitor Time Clock for manual punches, unsigned timecards and employees who are not working their assigned FTSs; inform Payroll Manager and Officers of any ongoing issues regarding timecards or hours worked

8.   Monitor temporary employee’s length of employment

9.   Process manual checks and voids as needed

·        Maintain necessary payroll-related accounts to provide full disclosure of payroll and benefit deduction information

·        Ensure accuracy and timeliness of interface of payroll information into the Northwest Division’s financial system

·        Keeps abreast, and ensures compliance with, all applicable federal, state and municipal laws policies and regulations, including all tax laws and retirement changes, and communicates changes to the field

·        Prepare reviews of all payroll statements and reports including but not limited to

1.   Payroll Register

2.   PTO Reports

3.   OT Reports







·        Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis

·        Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead

·        Ability to operate telephone

·        Ability to operate a desktop or laptop computer

·        Ability to lift up to 25 lbs. (usually file boxes

·        Ability to access and produce information from a computer

·        Ability to understand written information
