We are looking for an Associate, Programs Data and Reporting to join our HQ Programs team. The Associate, Programs Data and Reporting is responsible for day-to-day administration of Smile Train Express (STX), Smile Train’s proprietary electronic medical records database and the world’s largest cleft database. They will be responsible for updating and maintaining STX, ensuring data integrity and accuracy of information entered by partners, as well as communicating periodic updates to the team. They will help to evaluate partner requirements, onboard Smile Train employees, and share valuable insight into Smile Train’s data for internal or external stakeholders. The Associate will prepare visual presentations of STX data, research programmatic trends, and compile data for Smile Train’s internal oversight processes in addition to external initiatives. 

The incoming Associate will report to the Manager, Quality Assurance. This is an excellent opportunity for detail oriented and passionate data enthusiast to help Smile track its impact around the globe.

This is a full-time staff position based out of our Headquarters in New York, starting as soon as possible.

Responsibilities 

  • Support the functionality of STX, including: Monthly surgical record review and notification of surgical numbers for relevant staff; oversight of administration inbox and management of STX requests; foundationConnect (fC) support (Salesforce) and data normalization; Identification of trends/deviations in data; Identification of opportunities for process/system improvement; and training tutorials for onboarding new staff
  • Perform partner data processing and assessment, including: support Medical Review/Safety & Quality Review of new ST partners in fC ; Add newly approved partners, treatment centers, and practitioners to STX; and update partner contact/user information as appropriate
  • Provide data research and reporting: Administer partner/programmatic data collection through email/web-based platforms; review and aggregate these data to inform program planning and development/marketing messaging; Prepare data for presentations and/or to assist in programmatic planning
  • Support Manager, Quality Assurance (QA) with QA process, especially as related to data collection and organization
  • Support Comprehensive Cleft Care (CCC) grants and update partner STX capabilities in accordance with grant cycles
  • Ensure data integrity: Initiate corrective action on issues with patient documentation or information entry; work with regional managers/programs teams on systemic data entry issues
  • Support Annual Partner Survey: Administration of survey (in conjunction with Vice President, Programs Data & Technology); Analyzing and presenting data for trends or areas of concern
  • Support Programs team on ad-hoc projects such as In-Kind Form data collection and development of programmatic presentations or process materials
