Property Manager 

 

Chashama helps create a more diverse, equitable and inclusive world by partnering with property owners to transform unused real estate into artist workspace, presentation space and space for free art classes for seniors and youth. 

The Chashama Property Manager is the Facilities Department head, reporting to the organization’s Artistic Director/Founder. The Property Manager provides; facility related administrative oversight, in-the-field design solutions and management of Chashama’s rotating portfolio of 20 to 40 locations including offices, storage units, lobbies, studios, and gallery spaces. The Property Manager works closely with the Facilities Manager and Programs Department and manages a team of full-time, part-time, contracted team-members, and outside vendors, for the completion of; daily operational tasks, location buildouts, maintenance, deinstallations, and special project/events coordination. 

 

Responsibilities: 

  • Administrative Tasks: 
  • Manage and update the weekly/monthly team schedule  
  • Delegate/assign tasks to Facilities Manager and Associates 
  • Facilities team oversight, tracking, prioritization, and timeline management 
  • Monitor team member performance, project progression, completion, and accuracy  
  • Facilities and project specific budget management 
  • Create estimates and informed project proposal budgets 
  • Billing / account tracking / vendor invoice accuracy 
  • Expense reporting for business credit card purchases 
  • Vendor account management / oversight   
  • New vendor acquisition, quoting, contracting and negotiation  
  • Create and manage maintenance schedules for each applicable location 
  • Utility account management and tracking 
  • Database management: location tracking, notation, data entry, and maintenance of uniform, and intuitive file path structures 
  • Property owner and property management communications, official notices, and timely responses 
  • Artist communications when related to facility needs, infractions or installation protocols for specific locations 
  • Management of general liability, property, and auto insurance portfolio / management of insurance brokers / tracking insurance in all aspects 
  • Liase with DOB, municipal building departments, architects, and expeditors for permitting 
  • Vehicle management / registration / service and repair schedule / insurance 
  • Wifi/Hotspot management, tracking and oversight 
  • Facilities grant reporting and providing materials and statistics to the Grants Department 
  • Location acquisition proposals 
  • Work closely with the Artistic Director, Artistic Director’s Assistant, Accountant, Department heads, and various other team members 
  • Lead weekly Facility/Programs meeting 
  • Field Tasks: Hands-on work will be required from time to time 
  • Construction: design solutions for projects and new location build-outs for the Facilities staff to execute. General knowledge of electrical, plumbing and HVAC to inform design, problem solving and communicate with general and specialized contractors 
  • Material knowledge, research, and procurement, that informs design solutions utilizing the best materials for the application  
  • Power-tool proficiency, knowledge of tools available for rent and/or purchase for specific and niche project, repair and/or maintenance applications 
  • Implement site safety and compliance 
  • Driver's License: Experience driving a cargo van a 14’ box truck with liftgate 
  • Art Handling: Professional packing/loading protocol, hanging/installation, transportation of fine artwork 
  • Additional Skills Required: 
  • Accurate math skills related to construction: Square footage, Linear feet, standard/metric measuring, angles, material quantity/cost calculation, labor rate estimates 
  • Knowledge of building codes, egress and OSHA 
  • Microsoft Office fluency: Word, Excell, PowerPoint 
  • Google Suite fluency: Docs, Sheets, Drive 
  • Adobe Suite proficiency: Adobe PDF, Photoshop, Illustrator, InDesign 
  • Professional demeanor: Email, Phone, In Person 
  • Basic accounting: QuickBooks experience a plus 
  • Proficiency in task management apps and database resources: SharePoint, FileMaker, Trello, Google Calendar 
  • Basic understanding of IT 

Qualifications 

  • A strong interest in NYC’s cultural landscape, space making, construction and real estate 
  • Familiarity with non-profits, galleries, performance venues and arts administration.  
  • Experience in staff management, project management, logistics, property management, facilities management, and construction 
  • Excellent verbal and written communication skills, a strong sense of initiative, and be highly organized.   
  • Strong attention to detail. 
  • Proven organizational, multitasking, and problem-solving skills 

 

  

Time Commitment: Full-time, 40 hours a week 

Annual salary $55,000 plus benefits after 3 months
