 The Coalition for the Homeless is the nation’s oldest advocacy and direct service organization helping homeless men, women and children. We believe that affordable housing, sufficient food and the chance to work for a living wage are fundamental rights in a civilized society. Since our inception in 1981, the Coalition has worked through litigation, public education and direct services to ensure that these goals are realized.

POSITION SUMMARY: 

The Temporary Events Coordinator works under the Director of Development and Coalition leadership to plan and implement the organization’s major art auction/cocktail reception, ARTWALK NY. The Coordinator oversees all aspects of the event, including vendor and consultant management; sponsorships; data entry; data analysis; artist relationships; art delivery; printed and online materials; venue liaison; catering; décor; and event program and agendas. The Coordinator works closely with consultants, the Art Advisory Board, Director of Development, and volunteers to ensure that ARTWALK is efficiently managed. The Coordinator performs all job duties consistent with the mission and goals of the Coalition for the Homeless.

 QUALIFICATIONS: BA/BS and no less than two years of event planning experience are required (nonprofit experience event planning preferred). Exceptional verbal, written, interpersonal, organizational, and public speaking skills are required. Familiarity with Microsoft Office and Google Docs required. Familiarity with Salesforce CRM a plus. Must have ability to effectively manage multiple projects with multiple priorities and stay on strict deadlines. Must be extremely driven and able to work independently. Familiarity with art events preferred. Dates for this temporary opportunity are July 15th, 2019 through December 15th, 2019.

 DUTIES and RESPONSIBILITIES:

The Temporary Events Coordinator shall:

1.   Plan and manage event logistics, as well as follow established priorities, guidelines, timelines and procedures to effectively execute ARTWALK;

2.   Schedule and facilitate all event planning meetings with consultants, vendors, volunteers, committees and relevant Coalition staff, and serve as principal agency contact for all parties involved with ARTWALK;

3.   Recruit, train, orient and organize volunteers for ARTWALK to ensure that volunteers are fully prepared and supported;

4.   Manage budgets, variance reports and other status reports for ARTWALK as needed and as requested;

5.   Coordinate with donating artists and track all donations.

6.   In coordination with Development staff, solicit and negotiate gifts of all types in support of special event functions and enter all relevant information in Salesforce donor management system; as well as track all income in an Excel document.

7.   Maintain effective relationships with vendors, volunteers, donors, board members and potential sponsors;

8.   Manage the design, printing and mailing of invitations and other printed and electronic materials for ARTWALK, as well as manage RSVPs, acknowledgments, and all other materials;

9.   Coordinate the processing of vendor and consultant invoices with Finance Department;

10. Participate in regular supervision with the Director of Development;

11. Perform all other duties as may be assigned by the Director of Development or organization leadership.

12. Duties may also encompass some advance planning and preparation for an additional event in 2020.
