Through its Center on Victimization and Safety, Vera works to enhance services and systems for communities at elevated risk of harm who are often marginalized by mainstream services—in particular, people with disabilities, Deaf people, people with limited English proficiency, incarcerated and formerly incarcerated individuals, young men of color, and victims of domestic and sexual violence.


The Vera Institute of Justice seeks two Coordinators who, in collaboration with the Center Administrative Manager, will handle the administrative work of the Center on Victimization and Safety. The Coordinator reports directly to the Center Administrative Manager, and indirectly to the Center Director, Deputy Center Director, and Center Associate Director. The Center on Victimization and Safety employs a diverse, interdisciplinary staff who work collaboratively across projects.


Responsibilities

  • Provide timely and efficient administrative support to the Center Director, Deputy Director, and Associate Director, including managing calendars, arranging meetings, fielding telephone calls, writing correspondence on their behalf, and other administrative duties
  • Support the Senior Administrative Manager with the day to day operations of the Center
  • Process and track invoices and expenses for the Center
  • Review, code, and compile receipts for the Center's Corporate AmEx Card
  • Review, code, and compile documentation for Center's Business Travel Account (BTA)
  • Maintain databases and electronic and paper files for the Center
  • Coordinate staff and consultant travel
  • Field requests to the Center for information
  • Provide support to Senior Administrative Manager and Center leadership during programmatic site visits and audits
  • Maintain relationships with vendors, consultants, and stakeholders working to end violence
  • Assist program staff with drafting independent contractor agreements below the procurement threshold
  • Assist the Senior Administrative manager in overseeing the administration of the Center’s subcontracts
  • Resolves administrative problems by analyzing information; identifying and communication solutions
  • Work with Center staff to source, secure, and schedule American Sign Language interpreters and related accessible accommodations for events and meetings
  • Assist Senior Events Manager with tracking expenses for in-person meetings and events
  • Coordinate administrative functions such as responding to requests for information regarding accessibility via phone, in person, and via email
  • Provide logistical support to the Center’s in-person and virtual trainings and meetings​


Qualifications

  • Some college credits.
  • At least one, and preferably three or more, years’ relevant office experience. 
  • Excellent writing, communication, and interpersonal skills.
  • Ability to work effectively with, and without, close supervision.
  • Solid organizational skills and the ability to manage work on multiple projects efficiently.
  • Strong analytic, diplomacy, and problem-solving skills.
  • A demonstrated ability to work with people from diverse backgrounds.
  • Knowledge of language access and the Americans with Disabilities Act compliance is a plus.
  • Experience with event planning a plus.
  • Experience with Microsoft Word, Excel, and PowerPoint.
  • A willingness to travel.
