CLE Seminars Program and Event Assistant

We are looking for someone to provide for the preparation, coordination, and execution of Continuing Legal Education (CLE) event logistics and administrative duties. Provide customer service and technical assistance for all Oregon State Bar (OSB) CLE seminars and transactions, including registrations and products, Legal Publications products, and other OSB events and products.

What you will do:


Set up online registration for sections and CLE events.


Provide regular backup for the receptionist lunch and breaks.


Coordinate seminar preparation and post-seminar tasks.


Assist customers with seminar registration and product selection questions; timely respond via phone and email. Direct questions to appropriate staff.


Provide technical assistance for accessing live virtual seminars and on-demand products.


Assist with seminar preparation, registration, attendee questions, and clean up for in-person seminars.


Process phone, electronic, and mail transactions by entering payment data directly into the association management system (AMS). Enter and retrieve customer information using the AMS and customized databases.


Place customer hard media product orders with the Copy Center; monitor order volume and fulfillment; assist with duplication as needed. Place excess orders with designated vendor. Maintain inventory of hard media supplies. Recycle and dispose of outdated inventory and packaging.


Create email lists and send marketing notices as requested using the customer engagement platform.


Provide support as needed for department staff, including sales and event reports. Order office supplies.

You may have any satisfactory equivalent combination of the following experience & training that ensures your ability to perform the work. We welcome the opportunity to review your background. 


High school diploma or equivalent certificate supplemented by at least two completed semesters of college level, business-related course work.


Two years of experience in an administrative role. Experience in registration-based events and in a business meeting planning capacity helpful and not required.


Demonstrated knowledge of recognizing and acting upon opportunities to provide good customer service and a good customer experience.


Demonstrated ability to compose original communications and reply to business correspondence, inquiries, solicitations, and complaints in a variety of print and electronic formats, including letters, email, and forms.


Demonstrated knowledge of the Microsoft O365 Office Suite in a Microsoft Windows environment with particular emphasis on Word (including mail merge), Excel, Outlook, and PowerPoint. Experience with membership management database helpful and not required. Ability to become familiar with OSB-specific programs and software.


Ability to type 50 WPM with accuracy.


Ability to arrive punctually at all events early in the morning. Ability to remain at some events until early evening.


Ability to reliably transport seminar equipment and material to offsite seminar locations.


Ability to be punctual and adhere to a firm attendance schedule.


Ability to attend meetings and events outside regular work hours, including mornings, evenings, and weekends.


Ability to lift and transport up to 40 pounds.


Ability to travel overnight, inside and outside Oregon, to meetings, seminars, and events.


Ability to work in an office and remotely as needed to include varied environments and locations.

For this non-exempt position, the salary is $25.00 per hour. The OSB offers excellent benefits including voluntary 6% participation in the PERS program.
