BAM is seeking an Administrative Coordinator to work in the Development Department. The Development Coordinator will provide coordination and support for the Vice President of Development and the Development Team. The qualified candidate will facilitate internal and external communications to and from the Vice President of Development, in order to maintain the consistent flow of information throughout the institution. In addition organize and provide needed information, materials and/or services to the Vice President of Development, so that she or he may focus on strategic challenges and initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist Vice President of Development with administrative tasks as needed: screen and prioritize mail, email, voicemail and appointments using judgment to allow VP to focus on larger priorities
  • Maintain Vice President of Development’s calendar/agenda and schedule and prepare meetings (including preparation of IT, materials/packages and internal room reservation), as well as note-taking and distribution of notes post-meeting for select meetings
  • Tessitura: Understand basic use of Tessitura in order to pull lists & reports, as well as manage plans for VP of Development’s portfolio of donors
  • Departmental Support: Schedule intra-departmental meetings, including Bi-weekly Individual Giving, Institutional Giving, and Dev All-Staff meetings. Organize agenda, take notes, and share action items.
  • Prepare donor profile documents for use in external meetings
  • Draft basic correspondence for VP, and transform drafts of letters, proposals, and presentations into properly formatted correspondence; with time and experience, create drafts of letters and proposals for review by Vice President for distribution.
  • Manage Digital filing system for VP’s documents
  • Oversee departmental subscriptions & resources, ensuring awareness and access to development staff. 
  • Provide inter- and intra-departmental support as necessary
  • Perform special ad hoc projects as assigned

REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES

  • 1 year working of full time administrative experience supporting an executive in a fast paced office environment
  • Good organization and time management skills
  • Ability to multitask projects with varying deadlines.
  • Great verbal and written communication skills
  • Proficiency with MS Suite
  • Experience using Tessitura (or similar database) helpful
  • Excellent research skills
  • With advance notice ability to work some evenings/weekends
  • Interact with high level donors and executive staff members with grace and diplomacy.
  • Ability to work under deadlines and anticipate the needs of the VP
  • Ability to practice a high level of confidentiality
  • Excellent problem-solving and interpersonal skills
  • Ability to work with confidential and sensitive information

  • Comfortable working with DEI concepts, programs and initiatives
  • Must have the ability to comply with NYC COVID-19 vaccination mandate

Compensation: The salary for this position is $45,588. The role is a Union position, and will be paid in accordance with the BAM/UAW 2110 Collective Bargaining Agreement. This position is full-time non exempt and eligible for benefits.
