Summary/Objective

The Assistant Director of Grants authors coherent, organized and compelling proposals. This position applies knowledge of fundraising methods to reach income goals. The Assistant Director of Grants remains current with appropriate trends in the industry, researches grant making institutions and processes submission of proposals. This role also collaborates with team members in the organization to strategize on funding opportunities, develops relationships with key stakeholders, establishes and analyzes metrics, and provides project management for all grant applications for the organization. This position reports the Director of Major Gifts within the Development Department.

 

Role/Responsibilities

Essential Functions:

  • Write, submit and manage the full lifecycle of grant proposals and execution
  • Research and identify appropriate grant funding opportunities; partner with Development Department, the Director of Strategic Partnerships and other team leaders on opportunities
  • Work with program leads to drive the process of establishing, creating and maintaining evaluation processes including metric collection, documentation and analysis for the organization
  • Coordinate with Department Heads to support management of grants requirements and ensure deliverables are implemented according to the operational and financial needs of the organization
  • Furnish prospective funders with supporting documents; provide detailed reports to the funders and the Board of Directors with respect to the organization's progress
  • Develop relationships and collaborations with internal and external key stakeholders
  • Work with Finance Department. and other areas of the organization to identify funding needs and ensure proposals are not duplicative

 

Responsibilities:

  • Maintain proficient knowledge of organization’s history, programs, and operations, along with strategic plan 
  • Provide training to the new staff on grants management and reporting requirements
  • Support the invoicing, reporting, and other administrative functions to ensure successful execution of grant process
  • Assist with the execution of the Development Department's strategy
  • Analyze the budget trends and make recommendations for cost control and reduction for various grants
  • Maintain records in hard copies and computer databases; maintain records of all payments and receivables and prepare monthly records for all grant related activities
  • Keep the relevant staff informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of work responsibilities respective to grants
  • Provide detailed monthly reports to Department Heads or other senior leaders on grant progress
  • Collaborate with Marketing & Communications team to send funders newsletters, and to promote RMH-NY tours
  • Display adherence to organization’s mission and overall business objectives
  • Be attentive and observant of all parts of the facility and operations to ensure a safe and secure environment for all staff and guests; report violations or concerns in a timely fashion
  • Serve as a resource for staff, families, guests, volunteers, donors and other community members

 

Qualifications & Competencies

  • Bachelor's degree in a Creative Writing or related field; degree in nonprofit management a plus
  • Minimum three (3) years of grant writing experience including strong project management skills
  • Proficient with measuring and reaching income goals with a strong track record of securing a minimum of five-figure grants
  • Knowledge of philanthropy landscape, trends, and sources particularly in NYC
  • Extraordinary communication skills particularly written, as well as verbal and interpersonal with an ability to communicate in a timely and appropriate fashion
  • Ability to organize complex content with strong written, reporting and presentation skills 
  • Excellent attention to detail, well-organized, ability to collect, manage and analyze qualitative and quantitative data
  • Team-oriented focus; tuned-in and engaged with the needs of the department and organization
  • Deadline driven work-style with ability to adjust priorities, multi-task, manage time appropriately in a dynamic environment, and produce quality results on time
  • Self-motivated strategic thinker with a proven record working independently and achieving results
  • Strong knowledge and experience with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); other central database platforms a plus (e.g. Raisers’ Edge, Kindful) 
  • Professional with the ability to garner trust and confidence of senior staff, including program leaders, board members and donors
  • Knowledge of additional language(s) a plus
