POSTION OVERVIEW:

BIMA is seeking a Bookkeeper who revels in the art of numbers and is inspired by the story they tell. The ideal candidate will be driven to help the behind-the-scenes machinery run smoothly to support a community resource and provide art access to all. The Bookkeeper reports to and collaborates with the Finance Director to support the operations of a non-profit art museum with diverse programs and functions, including a visual art museum, cultural programming, educational initiatives, a fundraising and development team, a Museum Store, and a Bistro. The main duty of this position is handling daily accounting transactions including Accounts Payable and Accounts Receivable. The Bookkeeper will also contribute to monthly reporting and reconciling, analytics for business decision making, the annual audit, and operational tasks. 

 

DUTIES & RESPONSIBILITIES:

·      Process daily financial transactions, including posting, reviewing, and reconciling accounts payable and receivable on an accrual basis.

·      Collection, recording, and preparation of bank deposits. Cash collections are counted in dual control with another staff member.

·      Management of staff credit card accounts including statement review, documentation verification and reconciliation.

·      Proactive and professional communication with all staff and vendors to request information as needed.

·      Assist with Payroll processing on a biweekly basis including reviewing time cards, reconciling gratuity information, monitoring leave time balances and updating tracking databases.   

·      Assist with grant funding requirements by compiling applicable financial reporting.

·      Preparation, distribution, and submission of vendor tax reports including W-9 collection and 1099 preparation.

·      Assist with month-end close process including reconciliations, journal entries and reporting.

·      Help with the timely and accurate preparation of annual audit materials.

·      Maintain and organize physical and digital accounting file systems, spreadsheets, and databases maintaining security, accuracy and transparency.

·      Work with all museum staff to run the organization in a fiscally viable and legal manner, according to regulations, organizational policies, GAAP requirements and best practices.

·      Provide additional administrative support including supply ordering, general office duties, and meeting coordination.

·      Provide support for internal museum events, the Annual Auction and other special events and programs.

·      Other duties as assigned.


QUALIFICATIONS & PREFERRED SKILLS:

·      Two year college degree in business or accounting, or equivalent professional experience.

·      Knowledge of accrual accounting guidelines, internal control procedure, and accounting best practices (GAAP).

·      Proficiency with accounting programs, office databases, and computer systems including QuickBooks, Excel, MS Office, Google Suite

·      Understanding of non-profit review cycles, such as Audit, Budget, etc.

·      Understanding of retail practices, including inventory management and Point of Sale (POS) systems.

·      Team player with the ability to work in a fast-paced, complicated environment with minimal supervision.

·      Excellent organizing and planning skills with attention to detail.

·      Excellent oral and written communication skills.

·      Excellent problem solver and critical thinker.

·      Ability to work flexible hours including evenings and weekends.

·      Ability to sit, walk, and stand for extended periods of time

·      Ability to use computer monitors and keyboards for extended periods of time

·      Ability to lift 30-40 pounds

·      Availability to work major BIMA events as needed, especially the annual Auction.

Compensation Range: $50,750-$52,500 per year. Other benefits include medical, dental, vision insurance, generous paid time off policy and 403(b) retirement program.
