Overview

The Family Place (TFP) www.thefamilyplacedc.org and The Family Place Public Charter School (TFPPCS) help promote stability and well-being for low-income families in Washington DC by offering education, critical resources, and social support in a welcoming, multi-cultural environment at no cost to them. Our programs help meet emergency needs, offer access to information and other social services. We put the needs of our clients first by striving to develop programming that is both relevant and practical.


Position Summary

The Operations Site Coordinator will be the front line for families, students, and visitors, greeting those with a smile and troubleshooting any problems that arise. Reporting directly to the Director of Operations and HR, this position plays a critical role in the execution of the organization’s day-to-day operations and supports the mission of both agencies to achieve students’ success. The Operations Site Coordinator will model a culture of service and support in executing the role. They will maintain high standards of confidentiality.


Major Duties/Responsibilities


Responsibilities include, but are not limited to:

·      Manage daily operations to assure optimal efficiency and high-quality care. 

·      Answer phone line, communicate messages and forward calls to appropriate staff. Keep log of messages if needed. 

·      Maintain an organized office environment, assuming ownership over the physical space.

·      Assist with the procurement, distribution, organization, and inventory of school and other supplies throughout the year.

·      Coordinate logistics of school meal service with our external partners including, but not limited to, scheduling, troubleshooting, and ensuring adherence to compliance and safety expectations.

·      Assist with coordinating and planning staff meetings and special events.

·      Support with creating and distributing staff and student IDs.

·      Support planning initiatives such as field trips and event planning.

·      Keep records and update the database.

·      Assist with recruiting, onboarding, supporting, and managing volunteers.

·      Communicate with students and provide logistic support during inclement weather and other emergencies.

·      Support with Brief Services.

·      Support Registrar and academic team with logistics related to communication with students.

·      Assist with other administrative and operations tasks assigned by the Director of Operations and HR.


Qualifications/Skills

·      Associate degree required; Bachelor’s degree preferred.

·      Must be Bilingual (English-Spanish).

·      Self-starter who seeks direction as needed.

·      Proficiency with Microsoft 360 and Google Apps required.

·      Experience in office administrative support, preferably with a non-profit organization highly desired.

·      Excellent oral and written communication skills.

·      Demonstrated problem-solving, analytical, and organizational skills.

·      Ability to multitask and prioritize to thrive in a rapidly changing workplace.

·      Ability to handle ambiguity, adjust work priorities and deadlines.

·      Experience using Quickbase is a plus.

·      Ability to work occasional evenings and weekends.
