$31,200 - $31,200Salary is based on hourly pay of $15 calculated at 40 hours per week for 52 week. Actual annual salary will vary based upon actual hours worked.

The Office Manager helps to maintain the daily operations of PCSO's Pride Center, an LGBTQ+ community center, as well as providing administrative support to the Executive Director. Duties include welcoming and assisting visitors, general clerical and reception duties, data entry and management, managing social media, maintaining and cleaning the Pride Center, and coordinating and assisting with PCSO programs, projects, and events. The Pride Center Manager must be a welcoming and helpful presence to those visiting the Center and uphold the PCSO’s mission, vision, and shared values in their interactions with visitors, partners, and the larger community.

Reports to:  Executive Director

Position type: Temporary (1-year grant funded position), Full-time, Hourly 

Schedule: 40 hours per week - Tuesday through Saturday, primarily day-time hours with some flexibility possible. Some evenings will be necessary for meetings and special events.

Location: This position will work primarily on-site at 389 Waller Avenue, Lexington, KY. Travel in the local area will be required.

Organizational Background: Pride Community Services Organization, founded in 1977,  is a nonprofit organization whose mission is to improve the lives of people in the LGBTQ+  community of Central and Eastern Kentucky by enhancing visibility, empowering community members, and educating the public about issues impacting said community. Our vision is to create safe, inclusive spaces where every LGBTQ+ Kentuckian is celebrated and supported. Through our Pride Center, we provide a community focal point that provides access to information, support, services, resources, safe spaces, networking, and community for the LGBTQ+ community. With the Lexington Pride Festival, we produce a public event that provides celebration, connection, empowerment, and education, for LGBTQ+ people, their families  and allies, and the broader community.

Main Duties and Responsibilities

  • Learn and maintain awareness of PCSO and other community programs and services that are affirming to LGBTQ+ people;
  • Cultivate and grow resource lists of providers meeting the needs of LGBTQ+ people;
  • Greet all visitors to the Pride Center, answer questions, provide resources, referrals, recommendations, and support;
  • Answer telephones, check voicemail, and direct calls and messages appropriately;
  • Answer general email questions and inquiries and Facebook messages related to the PCSO, our groups, and Lexington Pride Festival;
  • Provide access to and manage all Center resources including library, wifi and computer lab, informational resources, and meeting space;
  • Maintain schedule for use of Pride Center spaces and facilitate access and use;
  • Manage PCSO and LGBTQ+ related community calendar as posted in Pride Center and online;
  • Communicate with group leaders and provide assistance and support, as needed, for PCSO’s groups;
  • Assist with the editing, invoicing, delivery, and subscription fulfillment for LinQ magazine;
  • Assist with contacting advertisers, acquiring ads, transmitting information, and invoicing for Bluegrass Pink Pages, an annual LGBTQ+ affirming business directory;
  • Schedule and attend outreach events to promote the PCSO, our programs, and services;
  • Assist with PCSO training, workshops, fundraising events, and other community events including Lexington Pride Festival;
  • Help to manage social media and website activity for PCSO, its groups, and Lexington Pride Festival as well as LGBTQ+ related community events and groups, as needed;
  • Maintain data related to fundraising, mailing lists, community relationships, and Pride Center and program use in database;
  • Utilize database to produce reports, mailing labels, emails, and lists;
  • Assist Executive Director in creating content for and distributing fundraising campaigns, videos, events, newsletters and other mailings;
  • Assist with marketing and outreach for PCSO, and it’s programs, groups, and events;
  • Create, improve, and maintain hard copy and electronic filing systems for all necessary records;
  • Receive and prepare donations, payments, and other income for deposit;
  • Assist Executive Director in preparing for board meetings;
  • Learn, improve upon, and maintain systems and processes to keep Center running smoothly;
  • Perform general clerical duties, to include but not limited to: processing incoming mail and packages, ordering office supplies, photocopying, scanning, mailing, and filing;
  • Ensure the everyday cleaning and upkeep of the center whether by performing the duties or seeing they are completed or shared by volunteers, other staff, or contractors (ex: emptying trash and recycling; sweeping, mopping, dusting, keeping the information rack current and the bathroom presentable);
  • Manage physical maintenance needs of the Center by contacting the landlord or appropriate contractor (ex: plumbing, A/C, exterior building conditions, etc).

Ideal Qualifications

  • A commitment to and passion for working with the LGBTQ+ community
  • Ability to take initiative and to work independently as well as working well on a team
  • Excellent organization skills and attention to detail
  • Willingness to work within anti-racist and anti-oppressive frameworks and actively engage in ongoing learning about these frameworks
  • At least six months of experience in a similar role (this includes relevant paid and unpaid/volunteer/community work) 
  • Proficiency in word editing, spreadsheet, and presentation software
  • Proficiency with Google Drive and Calendar 
  • Experience in the use of social media
  • Experience working with a database
  • Ability to prioritize workload and the flexibility to manage multiple tasks as required
  • Ability to follow work plan to achieve goals
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
  • Ability to resolve problems quickly and effectively
  • Must be able to develop and maintain a positive environment in the Pride Center
  • Non-profit experience is preferred
  • Bi-lingual in English and Spanish preferred
