STATUS: Regular, Full-time, Nonexempt


POSITION DESCRIPTION SUMMARY: The Central New York Community Foundation has been entrusted with permanent charitable endowment funds, the earnings from which are used to provide grants to not-for-profit organizations. The growth of the Community Foundation into its own building with outside tenants adds a layer of complexity to our operations that requires oversight and coordination. This position is the first point of contact for callers and visitors to the Central New York Community Foundation and the CNY Philanthropy Center. In addition this position provides administrative support to both entities to optimize efficiency and professionalism, ensuring that the Community Foundation puts forth a professional and high-functioning face to internal and external constituents.


MAJOR RESPONSIBILITIES:

  • Philanthropy Center Operations:
  • As the first impression for visitors to the Philanthropy Center and the Community Foundation, the Receptionist is responsible for greeting all callers and visitors in a courteous, efficient manner, providing a professional and positive experience.
  • Ensure the reception desk has appropriate coverage at all times.
  • Assist in the maintenance of the Philanthropy Center calendar.
  • Set up (to include providing beverages) and break down of afternoon events occurring throughout the building.
  • General Administrative Support:
  • Mail Management: Collect, sort and distribute all incoming mail including faxes to staff as addressed; process and expedite all outgoing mail including FedEx and other packages.
  • Record, endorse with deposit stamp and notify staff of checks received in the mail.
  • Receive deliveries and notify appropriate staff of delivery.
  • Maintain, purchase and restock office supply inventory.
  • Provide administrative support to Community Foundation staff and departments, including phone support, conference call and meeting logistics, event registrations, and other related activities.
  • Assemble, mail and file grant and accounts payable checks and supporting documentation.
  • Support process for preparing and mailing periodic fund activity statements to donors and other constituents and support fulfillment of other external communications efforts.
  • Assist staff with meeting arrangements.
  • Provide other administrative, event and staff support to Community Foundation departments as requested or assigned.
  • General:
  • Work as a member of inter-departmental teams, as appropriate, to ensure the effective and efficient operations of the Foundation; perform other duties as assigned.


QUALIFICATIONS:

  • Associates degree or equivalent work experience
  • Prior office and administration experience with strong computer skills, managing multiple priorities and varied constituencies in a busy office environment
  • Proven track record of administrative leadership, resolving problems quickly and effectively with positive customer service orientation
  • Excellent computer skills, including proficiency in Windows and all Microsoft Office applications, Outlook, and the Internet
  • Ability to prioritize work effectively and adjust to multiple demands
  • Good interpersonal skills; excellent oral and written communication skills
  • Values accuracy and a commitment to excellence
  • Good sense of self with demonstrated qualities of integrity, loyalty, discretion and reliability
  • Excellent organizational skills and attention to detail
  • Highly motivated and flexible, with the ability to work independently, take initiative, participate as an effective team member and follow tasks through to completion
  • Ability to lift up to 25 pounds


TIME REQUIREMENT

This is a full time nonexempt position requiring 37.5 hours per week plus occasional early and late hours for meetings onsite and offsite. Work hours are 8:30 a.m. to 4:30 p.m. with some flexibility.
