Position Summary:

The Inspection Operations Specialist will be part of the Inspection Operations Department (AKA Team) of approximately 10 full time staff. The position will contribute to a range of administrative tasks supporting the team’s mission which is to ensure that organic inspections are completed according to prescribed quantity, timelines, and quality. Specific duties and projects will be dynamic, with room for creativity and initiative. Activities include communication with inspectors, staff, and clients; data entry, monitoring, management, and reporting; regular meetings with the team, direct supervisor, and wider CCOF staff. This is a full-time, non-exempt status position reporting to an Inspection Operations Manager.  

 

Position Responsibilities:

·      Provide incoming phone and email support 

·      Work daily with a proprietary database 

·      Provide Inspection Operations staff with support through workload management 

·      Coordinate Inspection Operations bimonthly meetings and weekly Inspector office hours (take notes, manage invitations, and track follow-up action items) 

·      Update internal documents for consistent use of terminology 

·      Acts as a point of contact for inspectors, providing direct support regarding use of CCOF inspection systems, including our database and inspector web portal  

·      Data entry for lab reports, billing complaints, action items, inspector records, and inspection orders 

·      Attends bi-monthly Inspection Operations Department meetings 

·      Attends All-Staff and Certification Staff meetings 

·      Ensures that database and communications records regarding inspections and inspectors are consistent and current 

·      Works on special projects and other duties as deemed necessary by CCOF management 

 

Please note this position will not regularly conduct on‐site organic inspections. However, there may be periodic opportunities to perform inspections, inspector field evaluations, and other advancement potential.

 

Required Qualifications, Skills, and Experience:  

·      Excellent communication skills in person, on the phone, and in writing  

·      Ability to operate independently and solve problems with minimum supervision 

·      Strong attention to detail and ability to follow instructions 

·      Consistency, dependability, and responsiveness 

·      Experience in a remote office environment 

·      Competency in word processing, formatting, databases, and email using applications including Microsoft Outlook, Word, and Excel 

·      Excellent skills to organize, monitor, and track numerous activities throughout the year, with the ability to multi‐task in a busy office environment  

·      Comfort using a computer for multiple hours at a time  

·      Ability to work with diverse groups and people  

·      Ability to logically solve problems under pressure



(Optional) Preferred Additional Qualifications:  

·      Spanish language skills, sufficient to communicate verbally and in writing with Spanish-speaking clients and Inspectors.  

•    B.A. or B.S. degree or higher in a related field  

•    Practical field experience in organic agriculture or food systems  

•    Experience with organic regulations, or other environmental regulatory programs  

·      Experience conducting organic inspections 

•    IOIA Organic Inspector training or equivalent experience  

•    Auditor training for food quality production systems or similar field 

 

Compensation: CCOF takes pride in offering competitive pay and excellent benefits. The estimated salary range for this position is $54,600 - $70,980 and will depend on qualifications and experience.
