POSITION TITLE: Office Manager

REPORTS TO:  Business Manager and Principal


The New York French American Charter School is a k-5 school, located in the heart of Harlem and the Francophone community. Comprised of parents, teachers and families from over 80 different countries and nationalities around the world, the school provides lessons in cultural diversity alongside a strong bi-lingual education in an immersive environment. We offer immersive French classes to non-French speakers and through our CTT classes we are the only school in the U.S to offer immersive French courses to children with special needs.


Reporting to the Business Manager and Principal, the Office Manager performs a wide variety of tasks. With exposure to every non-instructional function in the school, Office Managers build a range of skills.

Responsibilities include:

Clerical Duties

·        Welcome visitors as second contact, determine the nature of business and announce visitors to appropriate personnel

·        Take and delivery messages or transfer calls to voicemail when appropriate staff is unavailable

·        Communicate with the public, using discretion and judgment, answering questions if possible otherwise directing individuals to the Principal or other appropriate staff members

·        Modify and adapt office procedures and details in concern with the needs and requirements of the principal and staff

·        Understand and apply school policies, procedures, and rules

·        Maintain cooperative working relationships with students, staff, parents and community members contacted in the course of work

·        Attendance at meetings and conference is mandatory unless otherwise instructed by the principal

·        Take on special projects and other duties as assigned by the school principal


·        Act as external liaison for the school

·        Answer phones and greets visitors

·        Convey key messages to families

·        Create and implements marketing and recruitment strategies


·        Maintain the daily operations of the main office

·        Support maintenance of school environment as needed

·        Troubleshoot technology issues in-house and coordinates with external technical support

·        Assist in maintenance and repair of copy machines and printers


·        Maintain organization and inventory of supply closets

·        Process staff supply request and monitor teacher budget

·        Distribute supplies to staff


·        Receive and sign for deliveries

·        Notify staff via email when packages arrive

Student Records

·        Collect student attendance daily and inputs into ATS and PowerSchool

·        Work with principal to monitor student tardiness and absences

·        Enter a variety of data into data trackers and excel spreadsheets


·        Alignment to New York French-American Charter School’s mission

·        Excellent work ethic and organizational skills

·        Strong presence with students and staff

·        Interest in working to close the achievement gap

·        French speaker required

·        Bachelor’s Degree preferred

·        Experience in school operations preferred

·        Open to possible reassignment by the principal
