We are one of Boston's oldest and most respected philanthropic organizations and we are currently seeking a Philanthropic Asset Services Administrator.

 

The Philanthropic Asset Services Administrator (PASA) supports the Philanthropic Asset Services (PAS) team in CJP’s Finance Department. The PASA’s responsibilities are primarily administrative in nature and include responsibilities in accounting and recordkeeping. The PASA will carry out administrative tasks in support of CJP’s Endowment and Donor Advised Fund (DAF) programs, Passport to Israel Program and Jewish Community Endowment Pool, LLP. Additionally this position will be responsible for the administration and recordkeeping related to CJP’s Israel Bond portfolio.


ESSENTIAL FUNCTIONS:

                                                                                   

·   Monitor the PAS email addresses and ensure that team members respond to inquiries and requests.

·   Provide customer service support and follow-up for donors as needed. Assist PAS team with data processing as needed

·   Provide administrative support: Filing, copying checks, running reports, etc.

·   Opens, sorts and act on daily mail.

·   Reviews grant letters (weekly) and copies of those letters that are sent to donors for accuracy and completeness

·   Maintains DAF and Endowment databases for signatory information, address updates, etc.

·   Administer all activity associated with CJP’s Israel Bond portfolio including tracking interest earned on Israel Bonds, facilitating transfers of bonds to CJP from donors, and submitting bonds for redemption upon maturity. Maintain and reconcile Israel Bond inventory, coordinate the recording of associated gift revenue and the preparation of donor acknowledgement letters for tax purposes.

·   Prepare backup documentation for journal entries

·   Review tickler file and distribute content to relevant person for follow-up.

·   Assist in reviewing DAF Statements and mailing list

·   Prepare information about rejected grants for the Committee on Development

·   Updates multiple analytical spreadsheets and 3rd party reports (both for CJP internal and external reporting)

·   Perform other duties as required or assigned by supervisor.

MINIMUM REQUIREMENTS:

Education:

·     BA/BS degree preferred. Preference to degrees in accounting or related business. Minor in English preferred. Will screen those with AA/AS degrees with strong work experience in related fields.

Experience:

·     1-2 years of administrative support that includes large office experience preferred.

Skills/Competencies:

·     Effective verbal and written communication skills.

·     Logic, problem solving and analytical skills.

·     Aptitude for detail and commitment to accuracy and follow through.

·     Very organized, able to independently manage multiple priorities and meet deadlines.

·     Strong customer service orientation with the ability to be pleasant and tactful under all circumstances.

·     Proficient in Windows environment, including MS Word, Excel, and Internet

·     Strong interpersonal skills and verbal communication skills. 

·     Ability to maintain confidentiality.

·     Ability to be flexible and adaptable to changes and shifting priorities.
