Location: Charlotte, NC

Reports To: Donor Relations Manager

FLSA Status: Non-Exempt, part-time, 25 hours/week

POSITION SUMMARY:

Reporting directly to the Donor Relations Manager and consistent with the mission of Girls on the Run International, the Development Coordinator provides administrative support to ensure the organization meets its contributed income goals and objectives. This position is responsible for the administrative oversight and integrity of the donor database, ensuring that the organization is effectively documenting and stewarding all donor contributions in a timely and efficient way.

PRINCIPLE RESPONSIBILITIES:

This job description reflects management’s assignment of essential administrative functions; it does not prescribe or restrict the tasks that may be assigned.

  • Generate and distribute timely gift acknowledgement letters related to individual donations, donor-advised funds, and donations from events, assuming responsibility for initial draft stage to final mailing.
  • Execute key fulfillment mailings to donors, including stewardship mailings and campaign-based direct mailed appeals.
  • In collaboration with Donor Relations Manager, respond to individual donors’ inquiries through personal outreach via email and phone, ensuring that needs of donor are processed in a timely manner.
  • Perform data entry and record management of all financial donations and matching gifts, ensuring accuracy, consistency and timeliness.
  • Pull reports and creates custom reports/queries as needed to support the development function
  • Maintain the integrity of the donor database through accurate, consistent and routine maintenance and upgrades. Stays abreast of software updates and hardware recommendations.
  • Serve as a liaison to the Finance team to coordinate the reconciliation of monthly and annual financials and assists with the annual audit as needed.
  • Serve as staff support for two Charlotte-area fundraising events per year, working closely with the Director of Development-Charlotte on event logistics, developing content for event collateral, facilitating event follow-up, including invoices and donor acknowledgements, and overseeing benefits fulfillment for event donors and sponsors.
  • Maintain organizational updates on charity watch websites, ensuring accurate ranking, and corporate Matching Gift platforms.
  • Other administrative tasks as assigned

QUALIFICATIONS:

  • Experience with Salesforce, specifically with Salesforce Nonprofit Success Pack (NPSP)
  • Associate’s Degree or higher, with 2 years of professional experience; or a comparable combination of education and experience
  • Proficient in Microsoft Office, particularly Excel
  • Proven attention to detail and project management skills
  • Highly organized and proactive, with the ability to take initiative and manage multiple tasks and projects at a time and deliver within deadlines
  • Strong customer service skills with excellent follow-up and follow-through
  • Excellent interpersonal skills; ability to build relationships with internal and external stakeholders, and leverage those relationships to cultivate additional opportunities
  • Outstanding verbal and written communication skills.
