    TITLE: Receptionist

    REPORTS TO: Events and Space Usage Manager

    General Summary

    The Receptionist is the first one to meet and greet Marble Church guests, either in person or via incoming telephone calls and is the hub for all day-to-day as well as emergency communications. This position is the voice and face of Marble, sometimes the only impression a person will get of the church, and must remain positive, calm, and focused while handling multiple situations simultaneously.

    The vision for the future of Marble Collegiate Church includes an aligned focus for all ministry areas and Program Groups with the strategic directions that resulted from the 2022 Strategic Planning process. Each staff member at Marble is tasked with working to align their ministry with these strategic directions and build a growth and outreach plan that prioritizes these areas.

    Principal Duties and Responsibilities

    Reception

    1. Meet and greet all who come to reception with courtesy, warmth, and Marble’s trademark hospitality, alerting staff to visitors, directing visitors to the appropriate location, showing hospitality to tourists by providing literature or sanctuary tours as appropriate. Some of the visitors will be “walk-ins” in need.Manage them according to procedures with kindness, firmness, and respect and communicate any feedback to the Pastoral Care Department.
    2. Answer all phone calls to the church with an uplifting voice, and familiarity with church programming in order to give accurate information to all inquiries, clarifying as necessary to get to the heart of the request.
    3. Observe and secure the lobby with the assistance of the security guard in case of visitors with emotional illness or other impairment as well as in the case of an elevator or other emergency notifying the Property Manager, Fire Safety/EAP Director, or 911 as appropriate.
    4. Receive, log, and or distribute mail, packages, items for retrieval, and lost and found items according to procedures.
    5. Coordinate and communicate with the maintenance staff via radio or cell phone regarding deliveries or other needs.
    6. Participate as a Fire Brigade member during an alarm event and in ongoing training by the Property Manager.
    7. Correctly disperse and maintain discount parking stickers, and maintain the mailboxes as needed.
    8. Be aware of staff comings and goings to better serve visitors and other staff members
    9. Undertake other various projects as assigned, including assisting with the folding, nesting, and stuffing of envelopes for large mailings and the receiving, nesting, and stuffing of multiple inserts into church bulletins and event programs weekly.
    10. Ensure the neat appearance of the receptionist area including the lobby, the Peale Parlor, the Prayer room and rest rooms while keeping current church materials such as bulletins or brochures accessible and available.
    11. Assist in filling pews with updated collateral and supplies as needed
    12. As Reception phone and foot traffic allows, assist other departments as needed (i.e. business office offering count, copying and scanning for programs, pastoral care calls).

    Specific Knowledge, Skills and Abilities Required

    1. Excellent communication skills and personal appearance.
    2. Ability to courteously and patiently handle individuals who either call or visit the Church, and be easily adaptable.
    3. Able to multi-task with a smile.
    4. Prior receptionist experience is a plus, along with familiarity of Microsoft Word and Excel.
    5. Strong attention to detail.
    6. Commitment to maintenance of confidentiality when necessary.

    Schedule and Logistics

    Regular Schedule: Sundays 8am – 4pm and Mondays 9am – 5pm (Subject to change based on ministry needs), inclusive of a paid lunch break. Cover Reception colleagues on sick days or on other time away as available.

    Standard weekly hours: 16.

    Pay Date: Bi-weekly on Thursdays

    Compensation:

    $20 per hour
