Description

The Development Operations Coordinator and Data Analyst reports to the Director of Philanthropy, and will help ensure the ACLU of Pennsylvania meets its fundraising and outreach goals through data analysis, reporting, and integration—including database support and enhancements—that drive the cultivation, stewardship, and engagement strategy for the donors and constituents of the ACLU of Pennsylvania.


The ACLU-PA is a nonprofit, nonpartisan public interest organization, dedicated to defending and enhancing personal freedoms protected by the Constitution and the Bill of Rights through litigation, legislative advocacy, and community education. The ACLU-PA has defended immigrants’ rights for decades, but the need to expand our services has become more urgent under the current administration. The ACLU-PA is a fast-paced environment that addresses headline-making issues with powerful personal stories and dynamic, precedent-setting solutions. The ACLU-PA has ten volunteer chapters, approximately 59,000 members, 31 full-time employees, and a $4.7 million operating budget.


The Development Operations Coordinator will participate on the Development team as a cooperative, positive team player. S/he will help maintain a respectful, welcoming, and professional environment for employees and volunteers; facilitate smooth department functioning and cross-team integration; develop a solid understanding of ACLU’s structure, programs, office protocols, and equipment; attend ACLU-PA functions and assist in other ways as assigned, including interacting with and meeting with donors when and where relevant.


Responsibilities


Database Management

  • Act as the go-to person in charge of database effectiveness and data analysis, including thinking through how to improve or change how the donor database and Customer Relationship Management (CRM) software/systems can support our work.
  • Maintain database integrity, accuracy, and protocols, as well as protect donor confidentiality and enforce our privacy policy.
  • In collaboration with a Development team of four full-time staffers, oversee the creation and maintenance of accurate and up-to-date database records for constituents, donors, and prospects.
  • Act as liaison with the ACLU National database team to ensure best practices and most effective use of the donor database/CRM.


Donor Data Management, Analysis and Reports

  • Spearhead and implement analysis of donor/CRM data to help guide donor and constituent outreach strategy.
  • Based on data analysis and reporting, advise the Development and Communications Departments on trends, challenges, and opportunities for new and continued engagement of ACLU donors and constituents.
  • Develop evaluative reports for donor and constituent tracking and management.
  • Facilitate data requests from both the Development Department and other staff.
  • Run daily, weekly, monthly and annual financial reports from the donor database.
  • In collaboration with other Development staff, produce quarterly reports to the Board of Directors.
  • Research donors and prospects and triage new prospects to either Annual Fund or Major Gifts. Coordinate with the policy and advocacy teams to identify donors primed to lend time or energy to local, state, and federal work—in order to move strategic priorities and increase donor engagement.
  • Oversee the entering of gifts and pledges into the donor database; preparation of timely acknowledgment letters; maintenance of electronic files of acknowledgment letters, scans of checks, and donor correspondence; tracking of pledges and issuance of pledge reminders.
  • Collaborate with the ACLU National research team.
  • Prepare donor analysis and memos for the Executive Director, Director of Philanthropy, Major Gift Officer(s), and Communications Director.


Mailings and Membership

  • Oversee and help strategize all mailings to new members, current members, and contributors.
  • Supervise volunteers to assist in this work.


Administration

  • Submit workplace giving applications.
  • Provide support for donor events and donor cultivation.


Qualifications

  • Bachelor’s degree preferred.
  • Demonstrated superior attention to detail with strong follow-through.
  • Demonstrated strong organizational skills to maintain record systems.
  • Strong proficiency in databases and experience in database management, preferably for non-profits. Experience with Salesforce preferred.
  • Excellent word processing skills and computer proficiency, including MS Office Suite, Excel and the Internet.
  • High ethical standards, and a commitment to the confidentiality of donor records.
  • Strong interpersonal and communication skills. High level of professionalism. The ability to communicate effectively and respectfully with donors, board members, volunteers, staff, and the general public. The ability to work collaboratively.
  • A confident and professional work style. Ability to take initiative and work independently, as well as work as a member of a team. Ability to exercise good judgment in stressful circumstances. Flexibility and a willingness to take on new tasks as the responsibilities of the position evolve.
