General Role Description -

The Program Coordinator’s primary role is to provide administrative and operational support for the services that SEEDS provides to Schools, Organizations and Communities through its core programs. These services include mediation, retreat and meeting facilitation, training and coaching. The primary responsibilities are outlined below. The position works out of the SEEDS North Berkeley office.


·     Public Trainings

[Includes 40-Hour Mediation training (3 per year), Introduction to RJ training (5 per year), Intro to Conflict Resolution workshop series, and all publicly advertised professional and personal development trainings managed by Core Programs]

o  Marketing, preparation, coordination and support of training

o  Registration, Tuition, and Financial Aid management

o  Site procurement and management

o  Ensures consistency and quality of all training materials

o  Logistics/preparation: handbooks, documents, materials, food and hospitality

o  Recruits and serves as liaison to coaches and trainers assigned to specific events

o  Correspondence, tracking and documentation (database maintenance and input)

o  Supports development of new trainings

·     Contracted Trainings and Facilitations

[Includes all trainings requested by individual entities outside of SEEDS, annual numbers vary]

o  Contracting: Create MOUs, provide W9s and proof of insurance, other contracting as needed

o  Preparation, coordination and support of training/meetings

o  Recruits coaches, trainers, and note-takers and serves as liaison (if needed)

o  Ensures consistency and quality of all training materials

o  Assembles training materials, including editing manuals and materials based on each training focus

o  Invoicing and revenue collection

o  Correspondence, tracking and documentation (database maintenance and input)

o  Follow up support (e.g. typing notes)

·     Outreach and Marketing

o  Updates and maintains website

o  Updates and maintains Facebook and Twitter using HootSuite

o  Collects material for and sends quarterly newsletter

o  Sends public emails to mailing list

·     Office Space

o  Upholds cleanliness and organization of office

o  Cares for office plants

o  Receives deliveries

o  Maintains inventory and organization of office supplies, including managing storage space and helping staff locate items

o  Maintains inventory and organization of kitchen, including managing dishwasher, refrigerator, and water coolers

o  Keeps track of office supply needs and requests for orders and brings orders to Operations Manager

o  Manages use and maintenance of conference room

o  Checks and takes out mail on a daily basis; Picks up newspaper; Distributes mail to appropriate staff members.

o  Communicates with staff about additional office maintenance needed

o  Takes prepared deposits to the bank

·     Reception

o  Answers phones between the hours of 10-3 Mon-Thurs.

o  Represents SEEDS as a personable organization; Meets and greets clients and visitors to the office, explaining an overview of SEEDS’ services and connecting clients to the appropriate staff member; de-escalates callers when needed.

o  Monitors general email, forwarding emails to appropriate staff members and responding when necessary on behalf of the organization.

o  Continually communicates with Mediation department and volunteers about incoming calls to determine communication flow.

Required Skills

o  Proficient in Microsoft Office Suite, Outlook, Word, Excel, PowerPoint,

o  Proficient in Google Office Apps including Docs, Drive, Forms, Presentations, and Spreadsheet

o  Proficient in managing social media sites including Facebook, Twitter, Google Plus and LinkedIn

o  Familiar with editing and posting on Wix and Wordpress websites 

o  Familiar with Salesforce or other CRMs

o  Strong organizational and communication skills with an aptitude for editorial proofreading, spelling and grammar

o  Excellent written and verbal communication skills

o  In-depth knowledge of office procedures

o  Ability to manage multiple priorities

o  Highly motivated, reliable and accurate in performing everyday tasks

o  Demonstrate initiative and ability to work both independently or collaboratively

o  Professional, friendly, and enthusiastic personality

o  Self-starter with a proactive attitude who can anticipate needs

o  Strong customer service skills

o  Strong project management skills in designing and implementing complex multifaceted services that produce successful measurable results

  • A bachelor’s degree OR equivalent work experience.
  • Conflict Resolution or Mediation training


o  1-2 years’ experience as an office/programs assistant or in other related fields

o  Experience planning and executing events

o  Working knowledge of community-based mediation and conflict resolution practices

o  Working knowledge of Restorative Justice Principles and Practices

o  Prior training and comprehension of race, gender, sexuality, and cultural awareness
