Child Mind Institute is seeking a highly skilled and motivated individual to work as an Intake Coordinator for the Healthy Brain Network (HBN), an exciting new initiative aimed at collecting imaging, genetic, and phenotypic data from 10,000 children and adolescents throughout NYC. The Intake Coordinator works closely with the clinical and research team to support families interested in participating in the HBN. The Intake Coordinator serves as a liaison between the HBN team and participants and families. 

Reporting to the Site Operations Manager, this is a non-exempt, full-time position located in our Healthy Brain Network office in Harlem.

Responsibilities

  • Communicate professionally with new participants via phone and email providing information about participation in the HBN and answers to frequently asked questions
  • Complete initial screening and scheduling of all participant appointments
  • Ensure that required participant information is entered into scheduling databases
  • Review newly scheduled cases with the clinical and research teams for appropriate case assignments 
  • Schedule new participant evaluations and subsequent visits needed to complete project participation
  • Send out all introductory paperwork and participant portal enrollment instructions, as needed 
  • Create new participant charts in NextGen electronic medical record (EMR) 
  • Provide coverage for other research and administrative staff as needed 
  • Assist in training new research or administrative staff regarding scheduling processes and procedures
  • Other duties as assigned

Qualifications

  • Minimum of a Bachelor’s Degree and 1-2 years of work experience
  • Strong interpersonal, communication, and customer service skills
  • Ability to provide participants and their families with compassionate and efficient support throughout their experience with HBN
  • Professional demeanor and attitude; ability to interface with families as well as senior leadership, clinicians, and staff
  • Team player and ability to establish and maintain effective working relationships
  • Ability to work in a fast-paced environment
  • Thorough, accurate, and conscientious about assignments
  • Ability to maintain discretion and integrity
  • Prior experience within a clinical setting preferred
  • Passion for the Child Mind Institute mission
