    Description

    Position Summary

    The Administrative Assistant supports Wilmington Community Clinic’s CEO in all aspects such as calendar management, call screening, meeting preparation, communication and general project management. This is a high-profile position which interacts with staff, clients, community partners and Board Members. The selected candidate for this position should be organized, motivated and have an excellent service orientation.

    This is a full-time position that works Monday through Friday from 8:30am to 5:00pm onsite in San Pedro. The Administrative Assistant is required to attend monthly Board of Directors meetings which fall on the fourth Thursday of each month from 6:00pm to 8:00pm.

    Compensation and Benefits

    The compensation for this position is $28 - $30 per hour. This position is eligible for the following benefits:

    Essential Position Responsibilities

    • Compose and proofread outgoing correspondence for the CEO.
    • Maintain the CEO’s calendar.
    • Screen calls and other correspondence for the CEO.
    • Create documents and presentations for the CEO.
    • Organize and schedule internal management and offsite meetings.
    • Perform independent research and prepare information for special projects.
    • Efficient and concise transcription of meeting minutes.
    • Support the Board of Directors with survey creation, report distribution, scheduling meetings and planning board retreats.
    • Attend monthly Board of Director Meetings.
    • Perform office duties that include ordering supplies and managing a records database.
    • Manage confidential information for the Executive Leadership Team.
    • Other responsibilities as assigned.

    Education and Experience

    • Bachelor’s Degree and/or equivalent experience and a minimum of 3 years of successful experience in an administrative role.

    Qualifications

    • All around helpfulness with pleasure.
    • Excellent understanding and demonstration of customer service skills.
    • Ability to manage priorities and use critical thinking to resolve issues.
    • Proficient in Microsoft Office suite (Word, Excel, Power Point, Publisher).
    • Excellent verbal and written communication skills.
    • Strong attention to detail.
    • Good interpersonal skills and the ability to work with a variety of individuals.
    • Ability to maintain confidentiality and discretion.
    • High degree of professionalism and accountability.
