ICA Cristo Rey Academy is a Cristo Rey School, sponsored by the Dominican Sisters of Mission San Jose. Located in the Mission District of San Francisco, the school is in it's 135th year of operation and it's third year as a member of the Cristo Rey Network. The Cristo Rey Network is comprised of 32 secondary schools that provide a quality, Catholic, college preparatory education to urban secondary school students from families of limited resources. Immaculate Conception Academy is the only all-girl secondary school within the Network. All students at Cristo Rey Network schools participate in a work-study program through which they help finance a percentage of the cost of their education, gain real world job experience, grow in self-confidence, and realize the relevance of their education. The focus of the educational program is to successfully prepare young women of faith, integrity and service to attend college and vision a future for themselves as contributing citizens.
The Program Coordinator—Transportation is responsible for maintaining and deepening relationship with partner supervisors and managing student performance within assigned client portfolio. The Transportation Specialist additionally leads the logistics in organizing the transportation operations of the department. Working together with the department team, the Program Coordinator- Transportation Specialist works to accomplish the stated goals of the department set out by The Director in conjunction with the goals and vision of the Immaculate Conception Academy Leadership Team and Board of Directors. The coordinator will participate in one of three committees: Students of Concern, Admissions, Student Life. Finally, the coordinator is charged with enforcing all Corporate Work Study Program (CWSP) rules stated in the school handbook and maintaining strong relationships with direct student supervisors.
In order to achieve the overall goals of this position, the Coordinator must possess strong communication and organizational skills. The Program Coordinator must be able to relate well to others, self-manage time to accomplish multiple responsibilities, offer and accept constructive feedback, and support the overall mission of the Work Study Program to execute program plans. The Program Coordinator must be able to collaborate with the work study team and create step-by-step procedures with well-defined action items to meet established deadlines. As a primary role of the Program Coordinator—Transportation Specialist is to manage transportation logistics, recruit volunteers, and maintain strong vendor relationships, attention to detail skills and interest in sales are preferred.

Accountable to: The Director, CEO, Program Manager
o Attend and participate in weekly team meetings to discuss any relevant portfolio issues, share progress on action items, plan for future curriculum and program events, delegate tasks, and set deadlines.
o Execute assigned tasks to ensure program plans are accomplished
o Assist with the collection of student forms and completion of the Form I-9 process.
o Assist with the planning and execution of student job placements
o Assist with the planning and execution of program events (Supervisor Trainings/Workshops, Supervisor Appreciation Events – Holy Hour, Thank You Lunch)
o Assist with the planning and execution of external program communication (monthly update)
o Assist with the planning and execution of summer training and ongoing curriculum work
o Assume scheduled leadership of morning check-out and evening check-in procedures
o Manage Account Receivable tracking and works directly with Director to create monthly reports
o Be the point of contact for supervisor at partners in assigned portfolio
o Attend and participate in Sponsor orientations
o Ensure that each student in assigned portfolio has all proper paperwork, permits, and forms
o Be the point of contact for each student placed with partners in assigned portfolio
o Complete all communication necessary when issues occur with students and sponsors
o Monitor student progress in Corporate Work Study by keeping track of student work performance, attendance, and overall grade.
o Collaborate with Administrative Specialist to ensure all absences are reconciled
o Collaborate with manager to ensure students are participating in curriculum assignments
o Follow up with students in portfolio and take disciplinary steps necessary to resolve any work performance issues, attendance issues, or issues with overall grade in CWSP (incident report, parent/guardian meeting, special contract).
o Report to the Director and work study team about the activity within assigned portfolio to keep everyone informed of any issues or successes.
o Complete two annual site visits to portfolio sponsors
o Directly manage students make up days within portfolio
o Coordinate additional support on the job or on campus if additional training is needed or issues arise with student work performance in assigned portfolio
o Follow up with supervisors within 24hours when issues are communicated or when point of interest needs to be communicated (Student Worker of the Week, Team of the Month, Student Issue – extended vacation, dismissal from ICA Cristo Rey)
o Directly responsible and accountable for managing probation period for students removed from work and are on campus for retraining
o Meet with student and parent/guardian to resolve any work place issues (work performance, commute issues, dress code, etc.)
o Lead the team in coordinating logistics for program transportation, automotive and public transportation
o Recruit, train, prepare, and manage chaperones for walking and transit routes
o Manage and run morning check out and coordinate afternoon check in
o Work with department team to ensure transportation logistics meet all needs for sponsors
o Accountable for transit card (Clipper) accounts and ensuring a proper inventory of cards for students, chaperones, and staff
o Ensuring invoices from outsourced transportation services are processed correctly and in a timely manner
o Work directly with CWSP Director to enhance and develop transportation program as volume of business increases
o Manage payroll
