The ICAA:

The Institute of Classical Architecture & Art (ICAA) is a nonprofit membership organization with 15 chapters across the country committed to promoting and preserving the practice, understanding, and appreciation of classical design. To do so, the ICAA offers a broad range of educational programs. These include intensives for architecture and design students, introductory programs for middle school students, lectures and walking tours for the public, continuing education courses for professionals and enthusiasts, travel programs to visit classical masterpieces, the publishing of original and reprinted books, and an annual journal entitled the Classicist. Through the annual Arthur Ross Awards, as well as other national and regional award programs, the ICAA also honors contemporary leaders of classical design and the related fields.

The Position:

The ICAA seeks a detail-oriented individual to plan and implement a wide array of events and public programs throughout the year, including but not limited to lectures, book signings, and studio visits, as well as fundraising and cultivation events such as Breakfast and Books, the Annual McKim Lecture, VIP dinners, the Stanford White Awards, and the Arthur Ross Awards. This position reports directly to the Director of Development as well as coordinating with the ICAA President, New York Committee, and Development Department.  The candidate must be flexible, well organized, able to prioritize varied projects, and enjoy working with a small, collaborative team. This position requires working evenings and occasional weekends for events, which will be scheduled in advance.

Position Responsibilities:

  • Oversee and assist in planning a schedule for Public Programs and Development events, both in person and virtual, in conjunction with the Chair of the New York Committee, ICAA President, and Director of Development
  • Serve as the primary contact for the Chair of the New York Committee, attend all Committee meetings, and take notes
  • Liaise with all events hosts and speakers, and arrange for payments and reimbursements
  • Oversee ticketing and registration for events, including creating and maintaining mailing lists, entering ticket purchases into Raiser’s Edge, tracking RSVPs, and reporting on attendance and income
  • Oversee logistical arrangements including but not limited to: venues, travel, catering, staffing plans, accommodation, AV, event rentals, setup, and breakdown
  • Greet event hosts, guests, and speakers
  • Draft proposals for sponsorship of Public Programs and other events
  • Yearly events may include (but are not limited to):

o  All New York Committee Public Programs (planned in conjunction with the New York Committee and Committee Chair), including lectures, book signings, tours, ICAA at Work, and ICAA on the Boards

o  3-4 Breakfast and Books events

o  3-4 VIP dinners planned in conjunction with the Director of Development

o  Multiple film screenings and premieres

o  The Classicist launch party (in coordination with the Director of Operations)

o  The Stanford White Awards (in coordination with the Director of Development and Stanford White Committee)

o  The Arthur Ross Awards (in coordination with the Director of Development and Arthur Ross Awards Committee)

o  President’s Council tours, dinners, and events

·        Other projects as assigned

QUALIFICATIONS: 


·        Must have Bachelor’s degree and at least two years of events planning experience

·        Experience in virtual and live-streamed events is a plus

·        Must be highly detail-oriented and organized, with excellent oral and written communications skills

·        A high level of energy, initiative, and creativity is essential

·        Ability to interact professionally with trustees, members, donors, volunteers, and colleagues

·        Proficient in database management (Raiser’s Edge experience preferred) and Microsoft Office Suite

·        Ability to think creatively and strategically

·        Demonstrate ability to exercise independent judgment and initiative; can work 
independently and as part of a team in support of the organization’s goals and
mission

·        Must show exceptional attention to detail while managing multiple projects on tight 
deadlines

·        Excellent time management skills and ability to prioritize tasks as needed

·        Interest in architecture, art, or design is a plus
