We have an exciting entry-level HR Assistant opportunity at our offices in Nassau County, LI. If you are a self-motivated individual, who has the ability to take initiative, a desire to surpass expectations and work collaboratively as part of the team then this position might be for you!

Our superstar will have strong organizational, administrative, computer, communication, and time-management skills. He/She/They will provide day-to-day human resources support including maintaining team member files and records, and performing general human resources office support functions. He/She/They will be exposed to all facets of HR in an evolving department and flourishing organization.

Essential Duties and Responsibilities:

HR Administration

  • Provide customer service; respond to questions from team members regarding human resources policies, rules, and regulations. Primary HR contact for new hires
  • Create and maintain human resources files ensuring timely and accurate records; including new team member folders and conducting semi-annual HR employee file audit
  • Generate team member promotion, demotion, and change of status letters and manages corresponding Human Resources Action Forms (HRAF), which reflect all personnel changes such as terminations, promotions, transfers, salary adjustments and benefits
  • Prepare new hire correspondence; including new hire email, offer letter, handbook acknowledgement, wage acknowledgement form, etc.
  • Receives and processes all new hire paperwork, including I-9, validating supporting documents and uploading info to HRMS database
  • Generate monthly HR reports utilizing the HRMS database and excel
  • Ensure filing of human resources documents are done accurately and on a weekly basis
  • Complete team member termination checklist and maintain termination folders/files
  • Data entry and maintenance of agency wide organizational chart
  • Respond to internal and external employment verification and salary requests
  • Maintain and update the intranet - HR SharePoint/SJJCC University
  • In partnership with the Director of Human Resources assist in New Team Member Onboarding and Orientation by maintaining the new hire list and orientation log
  • Responsible for providing adminstrative recruiting support including posting job openings internally and externally
  • Additional duties as assigned by supervisor

POSITION REQUIREMENTS:

  • An Associate’s Degree and human resources internship experience or an Associate’s Degree and office and administration internship, or any like combination of education and experience (human resources, office technology preferred)
  • Advanced computer skills to include data entry, Microsoft Office 2013; ex. Outlook, Word, Excel Powerpoint, etc.
  • Strong administrative skills
  • English/Spanish bi-lingual candidates preferred but not required
  • High level of integrity and reliability - discreet, monitor and assure the confidentiality, integrity, and proper maintenance of human resources files, database, reports, records, and information
  • Ability to work under steady pressure with frequent interruptions and high degree of contact by phone and in-person while remaining calm, in control and good humored
  • Demonstrates openness to change and manage a changing environment
  • Ability to effectively manage multiple projects with overlapping tasks and timelines
  • Ability to research and analyze various types of data/information and read and review documents for accuracy and relevant information
  • Superior communication, interpersonal, multi-tasking, and organizational skills – must have the ability to interact, establish, and maintain effective working relationships and provide excellent customer service
  • Must have the ability to work in a team and independently and prepare and present information to a diverse audience
  • Understand, interpret, and apply general administrative and departmental policies and procedures
  • Experience using HRMS databases to run and create reports
  • Ability to work on-site; this is not a remote position
  • Friendly and professional demeanor
  • Must be available to work up to 40 hours a week but no less than 32 hours Monday thru Friday but willingness to periodically work on weekends as needed
