OVERVIEW

We seek a friendly and organized multi-tasker to join our team in the role of Program Manager. With a new and dynamic Executive Director, a 50th anniversary on the horizon and plans for growth, we need an enthusiastic administrator to plan and execute our annual cycle of workshops and residencies. The Sitka Center team works together to create an inspiring place for people to dream and create, delivering high-quality experiences for the thousands of individuals who engage with our programs each year. This is a full-time, salaried, Monday-Friday position, with occasional evening and weekend work to help support workshops and special events.

The Program Manager will be undaunted in overseeing a complex and time-sensitive cycle of application, review and scheduling activities that drive Sitka’s workshop and residency programs, and they will be quick to regroup and troubleshoot the unexpected when things don’t go as planned. They will be both a process-person and a people-person, in possession of strong office, computer and prioritization superpowers, and happy working in support of the instructors, mature students, and visiting artists, writers and scientists who work, teach and attend workshops at Sitka.

ABOUT SITKA 

For nearly 50 years the Sitka Center for Art and Ecology has invited thousands of people to explore the interconnections between natural curiosity and personal creativity. Through workshops, residencies and public events the Sitka Center provides time and space for place-based reflection, inquiry and creation. 

Inspired moments and creative breakthroughs happen here every day, and for years after in the lives of those Sitka has touched. It’s a magical place. The Sitka Center is located in Otis, Oregon (near Lincoln City) on Cascade Head, one of the most beautiful places on the Oregon coast, surrounded by spruce forest, open meadow – and boundless inspiration. Our office is located within a 0.66-acre facility that also includes residences, studio spaces and a library. Roosevelt elk, black tail deer and northern flicker woodpecker sightings are a daily occurrence from our office windows. In June 2017 the Sitka Center acquired an 80-acre property known as Grass Mountain, located within the UNESCO Cascade Head Biosphere Reserve, and surrounded by 9,670 acres of protected Cascade Head Scenic Research Area forest.

CORE RESPONSIBILITIES

WORKSHOP PROGRAM

The Program Manager oversees the workshop program activity cycle, from instructor selection to scheduling to daily operations to evaluation and reporting. It takes analytical thinking, planning ahead and paying close attention to details while not losing sight of the big picture to oversee the workshop program. Specific responsibilities include:

• Master Scheduling: create and manage the workshop schedule, including workshops, instructors, studio assignments, apartment assignments and the housekeeping schedule—it’s like conducting your own orchestra in Google calendar!

• Catalog Coordination: Oversee the workshop application and selection process, gather and organize catalog content, produce Sitka’s annual print and online workshop catalogs, and keep the website catalog content updated throughout the year as workshops are added or canceled. 

• Communication: Coordinate action with approximately 100 instructors each year, respond to inquiries about the program throughout the year, and serve an annual student base of 1,000, building relationships with each conversation.

• Execution: Work closely with seasonal workshop staff to run the daily operations of the workshops, including ensuring the studios are ready, the half & half isn’t sour, the birds are singing, the weather is perfect… all the little details that add up to creating meaningful experiences for the people we host. The workshop season runs from May through September.

• Reflection: Pay attention to what’s working and what we can do better, analyze feedback survey data from students and instructors, lead debrief sessions to inform the next year’s workshop program and prepare reports to share the workshop program performance with Sitka’s board of directors, funders and the community. 

RESIDENCY PROGRAM

The Sitka center hosts invited artists, writers, musicians, ecologists and interdisciplinary creatives to stay on campus and work in residence from October to May. The Program Manager is responsible for overseeing the full cycle of residency program activities. Specific responsibilities include:

• Resident Selection: Coordinate the application, selection and scheduling process, and keep resident information in the database and on the master calendar up to date.

• Communication and Engagement: Work with residents in advance to answer their questions and set clear expectations, conduct resident orientations, coordinate field trips and occasional shared meals, help maintain and make improvements to the resident handbook, serve as a liaison for residents when they are here and conduct exit interviews with residents to improve the program.

• Program Outreach: Create marketing content to share information about the residents with the public, ensure that website content related to the residency program is accurate and inspiring, respond to inquiries about the program throughout the year, help organize resident show and tell events, and advertise the program so great future residents apply.

OTHER RESPONSIBILITIES

• Pitch In: Greet visitors, run reports, set up folding tables, make runs to the post office, enter data, file stuff, scan stuff… Everyone does a little bit of everything here, and there’s a lot involved in making it all run smoothly while creating a sense of retreat-like calm for our guests. 

• Event Support: Sitka events are team efforts and we all work together to have things go off without a hitch, or at least not too many hitches. Annual events include our Mingle & Muse series, Soup & Salad nights, Resident Show & Tells and the Sitka Art Invitational. From greeting guests as they arrive to crossing t’s and dotting the i’s on the nametags, pay attention to all the little details that make events magical. 

• Daily Surprises: Troubleshoot the unexpected, learn from mistakes, hold yourself and your teammates capable, clean up everything from spilled coffee to mis-communications, ask for help when you need it, offer help without being asked, share responsibilities, acknowledge others and help create a culture we’re all proud to be a part of and share. 

JOB QUALIFICATIONS

Education and Experience:

• Arts and/or ecology education and experience preferred

• Arts and/or educational program administration experience preferred

• Excellent overall office and computer skills

• Heathy comfort level navigating databases and overseeing complex calendar scheduling 

• Warm and patient customer service skills

• Strong writing and oral communication skills

• Arts and/or ecology background a plus 

REQUIREMENTS

• This position requires access to a reliable vehicle.

• This position involves occasional physical labor, and requires the ability to lift up to 50+ pounds, go up and down interior and outdoor stairs, hike on inclined geography and stand for extended periods at indoor and outdoor events.

• As our facilities include indoor and outdoor spaces, this position requires the ability to work in outdoor elements and conditions on the Oregon coast.

• This position plays a key role in Sitka’s operations and annual cycle. Doing it well requires an interest in learning the ropes over the first year, and then seeing it through over future years. Please address your long-term interest in working at Sitka, and your ability to live full-time on the Oregon coast. 

COMPENSATION AND BENEFITS

• $45,000 starting salary

• Eligible for 15 days/3 weeks of vacation and sick leave benefits, which accrue upon hire

• Eligible for a monthly health care stipend 

• One free workshop each year
