The Payroll Associate will process payroll as part of the National operations. He or she will also support the Payroll Manager on special projects to ensure payroll procedures are adequate for national expansion and to improve efficiency in systems and reporting. The Payroll Associate has the essential role of performing all payroll related duties necessary to ensure timely delivery of pay checks and reports for over 1400 employees and directly responsible for ensuring an accurate and timely payroll for our California and National Companies as well as the timely and accurate retirement contributions reporting for our Tennessee and Washington employees.



> Contribute to the quality and timeliness of financials by ensuring accuracy and efficiency in all payroll processes

> Meet all payroll deadlines to ensure each periods paychecks and related fringe benefits are processed on time

> Administer Workday self-service time and attendance reporting system, train new employees when necessary

> Run Workday payroll audit reports to compile payroll data such as hours worked, missed clock-in instance, excessive overtime, un-approved worked time, paid time off, pension deductions, union dues, garnishments, etc.

> Enter payroll data into the Workday HRIS system, prepare EIB data loads, review wages computed, correct errors and prepare payroll for review and posting by Payroll Manager

> Prepare and update payroll records in accordance with applicable legislature, company policy and grant award requirements

> Prepare materials for internal and external audits

> Maintain all payroll records and ensure consistency between payroll and human resource databases

> Resolve payroll related questions in a timely manner via payroll department designated email or payroll hotline

> Work closely with school operations managers and department heads to ensure compliance with payroll policies and procedures

> Contribute to the development of strong Finance & Accounting department that reflects operational best practices

> Other duties as assigned


This job operates in a professional office environment, is largely sedentary, and utilizes typical office equipment (computers, phones, photocopiers, etc.). Normal business hours are 8:30am – 5:30pm, Monday-Friday (although these hours may vary and may require occasional evening and weekend work based on organizational needs). Minimal or no travel required, other than visits to local school sites (as needed).



> Bachelor’s degree

> Minimum 4 years of payroll experience

* Advanced skills in payroll software and time and attendance systems required (proficiency in Workday HRIS payroll system highly preferred)

* Non-profit or school experience highly preferred

* Multi-state experience highly preferred

* Unionized payroll experience highly preferred

> CA State retirement system (STRS/PERS) reporting experience highly preferred

> Valid CA Driver’s License

> Strong customer service orientation including responding to needs in a timely manner

> Detail oriented, efficient and accurate

> Flexibility to work in a fast-paced environment

> High level of personal responsibility and drive towards ambitious goals

> Familiarity with and willingness to learn about and utilize technology to improve communication, collaboration, and productivity

> Strong sense of integrity, ethics, and drive to achieve and grow

> Must be able to pass a TB test and background check at time of offer
