We accomplish our mission through our nationally replicated Portfolio Defense assessment model, which authentically measures the most important things students need in order to succeed in college and career: academic content, leadership skills, and deeper learning competencies such as reflection and growth mindset.  Portfolio Defense uniquely prepares students, particularly those who are historically underserved, to get into college and then to persist until they earn a degree. We operate three high schools and two middle schools, serving approximately 1,500 students in the San Francisco Bay Area: 70% are low-income; 94% from communities of color; and 75% first generation college bound.  100% of our graduates are accepted to 2- or 4-year colleges, with 78% accepted to 4-year institutions.  What’s more, our students persist in college once they enroll. Our college persistence rate is 87% from first to second year, compared to the national average of 74%.  We also operate Envision Learning Partners, a coaching and training division working with schools across the country to adapt and adopt the Portfolio Defense model.  ELP is working with more than 1,000 educators in 30+ school networks and reaching more than 200,000 students.

POSITION SUMMARY

Envision is seeking a systems-minded leader and project manager extraordinaire to join the Operations Team. The Director of Operational Systems and Special Projects will design organization-wide systems to ensure sustainability and alignment, while also supporting mission-critical, cross-organizational projects. With an entrepreneurial spirit, they will evaluate, assess, and adapt or design org-wide systems to ensure alignment of stakeholders towards our goals, while also skillfully navigating change management. Additionally, they will demonstrate care for the organization and its people by putting strong project management and cross-team collaboration skills to use to support the efficient and effective completion of projects that impact the whole organization. This is a new role at Envision and is an opportunity for high impact in the short-term while building relationships that can be leveraged for broader work.


Reporting: This position reports to the Chief Operating Officer but works closely with leaders and managers across the entire organization.



KEY RESPONSIBILITIES: Operational Systems Leadership and Design

  • Conducts assessment of current state of operational systems and designs or adapts processes to streamline and optimize workflows across the organization
  • Develops a cycle of data-driven continuous improvement for operational procedures and policies
  • Defines operational metrics and key performance indicators with school leaders and ensures usage of accountability systems
  • Trains school leaders and Support Office colleagues in new processes and ensures continued support for successful adoption
  • Pays special attention to processes and workflows to ensure they are in alignment with Envision’s mission, vision and values
  • Documents workflows, processes, and systems to create standard operating procedures 
  • Ensures care for the organization and its people by designing operational systems and processes that provide team members with the tools they need to do their work effectively
  • Provides thought leadership on collective team infrastructure and operational processes
  • Monitors and assesses the successes, failures, and challenges of our operations strategy in  collaboration with the team, and proposes adjustments as needed 


KEY RESPONSIBILITIES: Strategic Project Management

  • Collaborates with team members in the design, development, and implementation of strategic projects to support strategic and operational planning goals  
  • Develops trusted relationships with stakeholders, and ensures that stakeholders are kept appropriately informed of project activities and are encouraged to participate as  appropriate  
  • Advises teams regarding cross-functional considerations, workflow integration and coordination, and optimization of best  practices  
  • Ensures communication among teams during the implementation of project plans  
  • Manages projects from end to end, identifying and monitoring project milestones and holding team accountable for achieving results
  • Paces work to allow time for course correction and ensures on-time completion and quality of team deliverables
  • Delegates effectively, ensuring that team resources are mapped to priority deliverables
  • Ensures that projects are proceeding according to timelines, meeting targets and expectations, and adhering to established parameters; negotiates changes in project resources as necessary to achieve objectives and timelines  
  • Identifies key risks to project success and ways to mitigate; identifies challenges and guides team towards solutions
  • Develops systems and processes for tracking operational data and key performance indicators  
  • Specific projects include, but are not limited to:
  1. Transitioning from Hybrid Learning to full In-Person Learning during the 2021-22 school year
  2. Completing schools’ large cross-team accountability documents, such as Local Control Accountability Plans, School Accountability Report Cards, WASC reports, as well as facilitating family and external stakeholder engagement in those processes as required
  3. Designing and facilitating processes for student attendance reporting and interventions
  4. Project managing any school mergers or integrations with other schools
  5. Liaising with the Board of Directors, including compiling Board packets, conducting Board surveys, taking notes at Board meetings, etc.
  6. Assessing operational systems and designing process improvements
  • Supports the Senior Leadership Team with projects as needed

QUALIFICATIONS

  • Commitment to the mission of Envision Education
  • Commitment to anti-racist and pro-Black systems
  • 4+ years of professional experience
  • An asset-based and human-oriented approach to systems evaluation and re-design
  • A track record of systems design and stakeholder management to implement new systems
  • A track record of effective project management, cross-team coordination, and delivering projects on time
  • Successful management of complex projects involving diverse stakeholders and multiple sites, including a demonstrated ability to drive a complex plan toward timely milestones and outcomes
  • Attention to detail
  • Excellent written and verbal communication skills, including ability to understand and synthesize information from a broad array of teams, including academics, finance, operations, and talent
  • A strong analytic, accountability, and systems-thinking orientation necessary to inform strategy development and execution
  • An entrepreneurial approach to systems design and implementation
  • Strong organizational and project management skills
  • Ability to prepare, review and analyze data


COMPENSATION: The starting salary range for this position is $97 - 112K. Salary and benefits are competitive and based on experience.
