The temporary Run/Walk Coordinator will serve as an assistant to the West Coast Chapter Director with primary focus on our ZERO Run/Walk event in San Francisco on November 4. Utilizing society-wide resources and templates, this role is responsible for marketing, securing sponsorships, in-kind donations, volunteer recruitment and assisting with day of implementation of the event. The Run/Walk Coordinator reports to the West Coast Chapter Director and will provide scheduled updates of progress and discuss any issues pertaining to the event with the director. This position works to ensure a great experience for participants as well as drive fundraising efforts. Coordinators will work approximately three to 15 hours per week and will be paid an hourly fee. This temporary position will run through November 16 to assist in wrapping up post event tasks.


Essential Functions/Responsibilities:

1. Sponsorship (30% of time)

  • Secure in-kind event food (snacks, fruit, water).
  • Secure in-kind prizes (raffle, auction, fundraising challenges)
  • Secure media sponsors in TV, print and radio.
  • Reach out to prospect list of sponsors for cash contributions
  • Research company websites to find sponsorship opportunities – submit applications as necessary


2. Marketing (25% of time)

  • Promote the ZERO Run/Walk by distributing branded print materials in local businesses
  • Work with local media to create publicity and promotion in the community.
  • Brainstorm and implement ideas to attain and surpass run/walk sites fundraising and participant goals
  • Help with team recruitment (attend local health fairs, lunch & learn events) to bring in more participants to the event


3. Recruitment and Engagement (30% of time)

  • Reach out to past teams and top fundraisers to get them registered
  • Communicate with your set of team captains and fundraisers on a regular basis
  • Constantly be on the look out for potential committee members - work with the west coast chapter director to on-board them
  • Reach out to existing prospect list of teams to encourage registration
  • Brainstorm and implement reach out to new team prospects


5. Other (15% of time)

  • Attend two to three conference calls throughout the year.
  • Read and respond to weekly emails with important deadlines and updates.
  • Send post-event thank you cards and emails to your contacts.
  • Follow the timeline and meet all deadlines.
  • Return correspondences by phone or email within 24 hours.
  • Keep scheduled site visits and phone meetings with West Coast Chapter Director
  • Serve as a good steward of all chapter resources - time, money, equipment and materials.


Education:

  • High School Diploma (required)
  • College Degree (preferred)


Minimum Experience/Skills/Competencies:

  • One year of event planning experience or logistics is required.
  • Time Management, volunteer engagement, fundraising, and strong interpersonal communication skills


Technical/Other:

  • Knowledge of Microsoft Excel, Microsoft Outlook
